Job Summary:
We are seeking a dedicated and detail-oriented Office Administrator & Assistant to join our team. The ideal candidate will handle a range of administrative tasks, ensuring the smooth operation of our office. This role also includes some basic accounting responsibilities, making it a great fit for someone who is organized, proactive, and comfortable with numbers.
Key Responsibilities:
Perform general office duties, managing emails, and maintaining office supplies.
Assist in scheduling appointments, coordinating meetings, and handling travel arrangements.
Manage digital filing systems, to ensure documents are organized and easily accessible.
Process invoices, manage expense reports, and assist with accounts payable/receivable tasks.
Maintain office calendar and coordinate team events or meetings.
Support other departments as needed, providing administrative support across various functions.
Handle data entry, update records, and assist with database management.
Qualifications:
Proven experience in office administration or a similar role.
Familiarity with basic accounting tasks; knowledge of accounting software (QuickBooks) is a plus.
Excellent organizational and multitasking skills.
Strong communication skills, both written and verbal.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable with general office technology.
Ability to work independently, take initiative, and be proactive in handling tasks.
High attention to detail and accuracy, particularly with numbers.
Preferred Qualifications:
Associate's degree in Business Administration, Accounting, or a related field.
Prior experience in an office management or assistant role with accounting responsibilities.
