JOB TITLE: Administrative Assistant, Event Coordinator, and Marketer/Promoter

LOCATION: Restaurant/club/lounge in Downtown Glendale, CA

JOB DESCRIPTION

We are seeking a highly motivated and dynamic individual to join our team in a combined role of CEO’s Administrative Assistant, Event Coordinator, and Marketer/Event Promoter for a new restaurant/club/cocktail lounge in downtown Glendale. If you are experienced and comfortable with large scale event planning, effective promotion and marketing, and possess excellent organization skills, this position might be for you!

KEY RESPONSIBILITIES

ADMIN DUTIES

- Data entry, bookkeeping, and management of billing accounts (Quickbooks experience a plus but willing to train the right individual)

- Maintain and manage the deadline calendar for administrative tasks and billing.

- Conduct miscellaneous errands such as inventory checks, supply purchases, deliveries, pickups, supply stocking, and order returns.

- Coordinate deliveries and pickups efficiently.

- Manage CEO’s schedule and appointments

EVENT COORDINATOR DUTIES

- Comfortable and experienced in planning and coordinating events from A-Z, including vendor and entertainment booking.

- Confirm vendors, artists, and entertainment schedules.

- Plan and execute themed events, ensuring all aspects are covered.

- Manage staffing availability, supplies, promoting and reservation confirmations for events.

- Manage all aspects on date of event to ensure all issues are resolved timely and event will ensue smoothly

MARKETING/PROMOTING DUTIES

- Develop and implement marketing plans to promote events and drive customer engagement.

- Ensure maximum guest attendance and attract new guests while encouraging repeat visits.

- Drive sales and increase clientele through effective marketing strategies.

- Coordinate influencer collaborations to enhance brand visibility.

- Maintain a consistent and effective marketing strategy, coordinating with the social media manager accordingly.

- Monitor and respond to website inquiries and track the mailing list to send regular updates about the restaurant and events.

QUALIFICATIONS/SKILLS

- Previous experience in corporate marketing and event coordination.

- Existing relationships with vendors, artists, and entertainers are highly preferred.

- Excellent English written and communication skills.

- Highly computer, phone, and social media savvy.

- Administrative/accounting experience is a plus.

- Must have a reliable vehicle as driving is periodically required.

- Ability to work in high-pressure environments and possess great problem-solving skills.

- Punctuality and reliability are essential.

- Ability to take initiative without compromising boundaries and work with little to no supervision after training.
