Job Summary:
We are seeking a dedicated and experienced Facilities Manager to oversee the efficient management and maintenance of both residential and commercial properties. The ideal candidate will be responsible for ensuring the safety, functionality, and overall condition of the buildings, managing service contracts, and coordinating day-to-day operations for a portfolio of properties. Including but not limited to negotiating contracts with service providers, inspecting facilities to meet safety regulations and coordinating renovation and updates. Familiarity with FMS/CMMS work order dispatch systems is essential. This role requires a blend of leadership, organizational skills, and technical expertise to maintain high standards across both residential and commercial environments.
Key Responsibilities: (partial list)
Property Management: Oversee the general maintenance, cleanliness, and repair of both residential and commercial properties, ensuring they meet regulatory and safety standards. Inspect all projects after completion.
Vendor & Contractor Management: Negotiate contracts, manage relationships, and coordinate services with vendors and contractors for repairs, cleaning, landscaping, security, and other maintenance tasks. Receive and review repair estimates, obtain bids as appropriate in accordance with Company policy, and approve projects with outside vendors, including HVAC, electrical, plumbing, mechanical, pest control, landscaping and similar professions.
Maintenance Oversight: Perform regular inspections of buildings, including plumbing, electrical, HVAC, and other systems. Address any necessary repairs promptly or coordinate with relevant tradespersons.
Budgeting & Cost Control: Develop and manage budgets for property maintenance and improvements. Monitor and control expenses to ensure that projects are completed within budget while maintaining high standards.
Compliance & Safety: Ensure compliance with local, state, and federal regulations related to building codes, health and safety standards, and environmental regulations. Maintain proper safety documentation, risk assessments, and ensure that safety protocols are followed.
Tenant/Resident Relations: Collaborate with property maintenance coordinator and director of operations to meet resident needs and address their request/concerns.
Preventive Maintenance: Implement preventive maintenance schedules to minimize unexpected repairs and downtime. Ensure that all equipment and facilities are in optimal working condition at all times. Prepare facilities for changing weather conditions.
Project Management: Lead or coordinate renovation, remodeling, and construction projects as needed for property improvements or upgrades. Monitor timelines, quality, and costs of these projects, ensuring that business is not disrupted.
Reporting & Documentation: Maintain detailed records of maintenance activities, contracts, and inspections. Provide regular reports on the condition of properties and upcoming needs for improvements or repairs.
Emergency Response: Act quickly and effectively in the event of emergencies (e.g., power outages, flooding, system failures) to minimize damage and inconvenience to tenants and residents.
Personnel Management: Assess maintenance staff and provide guidance through training and development. Collaborate with director of operations to create and maintain schedules for employees. Manage the company fleet, approximately (5-10) vehicles ensuring the regular maintenance and inspection of company vehicles for safety and/or mechanical problems to ensure good operating condition. Utilize Yardi and Field Pulse software for work orders, inspections, and tracking maintenance schedules.
Qualifications:
Proven experience as a Facilities Manager (10 Plus YOE) or similar role, managing both residential and commercial properties.
Strong knowledge of building systems, including HVAC, plumbing, electrical, and general maintenance.
Experience in managing vendor contracts, service agreements, and project management.
Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
Strong communication and interpersonal skills for interacting with tenants, contractors, and stakeholders.
Proficiency in budgeting and cost management, with the ability to manage multiple properties simultaneously.
A problem-solving mindset with the ability to address unexpected challenges quickly and effectively.
Knowledge of relevant laws, regulations, and safety standards for residential and commercial buildings.
Proficiency with repair tools and techniques.
Bachelor’s degree in facilities management, business administration, or related field is a plus.
Professional certification such as Certified Facility Manager (CFM) or Facilities Management Professional (FMP) is a plus.
Experience with building management software or facilities management systems is a plus.
Physical Requirements:
Ability to lift heavy equipment and comfortable standing or walking for long periods.
Occasional on-call availability during nights and weekends.
