Description We are offering a short term contract employment opportunity for a Facilities Coordinator at our location. As a Facilities Coordinator, you will play a significant role in the management of our facilities, with responsibilities such as monitoring inboxes, issuing purchase orders, and ensuring proper waste disposal.Responsibilities: Monitor and respond to emails promptly Create and close work orders as necessary Issue Purchase Orders for the procurement of goods and services Generate reports to track performance and progress Handle Ad Hoc requests from various departments Acknowledge all inquiries from clients and collect work orders Organize and file department files, work orders, and other paperwork submitted by vendors Ensure activities outside the building such as waste disposal and recycling are carried out properly Follow instructions, short correspondence, and memos, and ask questions to clarify understanding Respond to inquiries or complaints from clients, co-workers, and supervisors in a detail-oriented manner Use existing procedures to solve straightforward problems, with a limited opportunity to exercise discretion Deliver output by following defined procedures and processes under close supervision and guidance. Requirements Excellent communication skills to effectively interact with all levels of the organization Proficiency in managing office functions and procedures for smooth operations Experience in supervising employees and contractors to ensure tasks are completed correctly and on time Ability to manage vendors, including negotiating contracts and handling paperwork Experience with drafting, sending, and organizing correspondence Ability to perform ad hoc financial tasks, such as budgeting and expense tracking Track record of monitoring progress and implementing methods for improvement Proficiency with monitoring tools to ensure optimal facility performance Strong client relations skills to ensure satisfaction and address any issues promptly Proficiency in Microsoft Office Suites, including Word, Excel, and PowerPoint Experience with closing procedures, ensuring all tasks are completed at the end of the day Knowledge of SAN - Storage Area Network, and its relevance to facilities management Experience in facilities management, including maintenance, repairs, and upgrades Ability to handle complaints and work orders in a timely and detail oriented manner Previous role as a Facilities Coordinator or similar position is preferred High School diploma or equivalent is required Experience with maintaining department files and records Experience in issuing purchase orders and managing inventory Familiarity with specific products and services is a plus.
