Accounts Receivables Clerk [Mon-Fri. 8am - 5pm]

We are a spiritual non-profit organization seeking an Accounts Receivables Clerk. This is a Full-time Hybrid (remote/on-site) position located in Los Angeles, CA, and it is for a TEMPORARY PERIOD of 3 – 6 months or longer.

Responsibilities:

Responsible for managing trade accounts receivables of over $1 million, and ensuring timely payments are received, processed and reconciled.

Generate and send invoices to all trade customers.

Apply payments received to respective accounts into Acumen including wire transfers, credit cards, checks, Non-Monetary payments.

Generate, analyze and send monthly statements to all open balance accounts.

Research and resolve short pay discrepancies, chargebacks and returns.

Prepare and execute credit and debit memos as needed.

Print and analyze accounting reports on a weekly/monthly basis.

Communicate status updates consistently to management.

Constantly monitor A/R aging report to ensure all accounts are current.

Contact customers via telephone and / or email regarding overdue accounts and determine reasons for non-payment.

Oversee accounts receivable write-offs and payment reversals.

Prepare foreign consignment locations sales reports and generate USO invoices in Acumen.

Prepare and send manual foreign currency invoices to foreign consignment accounts.

Reconcile foreign currency payments with the dollar amounts recorded in Acumen.

Monitor, reconcile and maintain inventory balances at all consignment locations.

Liaise with Accounting Department to reconcile accounts at month close.

Back up for Order Entry.

Other position-related tasks, as assigned.

Requirements:

Bachelor degree in Accounting or equivalent experience.

Previous experience in A/R and ability to complete most accounting duties required.

Experience in Publishing or Media industry preferred.

Proficiency in Microsoft Office programs, especially Excel, required and familiarity with Acumen or other inventory/billing system such as QuickBooks preferred.

Bilingual (English and Spanish) a plus.

The ability to honor and maintain a strict level of confidentiality.

Excellent communication skills and the ability to represent the organization adequately when dealing with the public.

The ability to function well in a multi-task environment.
