Our team is committed to providing exceptional service to property owners and tenants, and we are looking for a detail-oriented and experienced Administrative Assistant to support our accounting and administrative functions.
Position Summary:
We are seeking a reliable and organized Administrative Assistant with a strong background in accounting processes. This role is critical in maintaining the financial health of our operations through accurate handling of accounts payable (A/P), accounts receivable (A/R), credit card reconciliations, and bank statement reconciliations. The ideal candidate has experience in property management or a similar industry and understands the importance of timely and accurate financial recordkeeping.
Key Responsibilities:
Manage accounts payable and receivable, ensuring accuracy and timely processing of invoices and payments
Reconcile credit card statements and bank accounts monthly
Maintain up-to-date records in accounting software
Communicate with vendors and property owners regarding billing inquiries or discrepancies
Assist in preparation of financial reports for internal and client use
Collaborate with property managers on budgeting and expense tracking
Support general office administration as needed (filing, phone/email communication, data entry)
Qualifications:
2+ years of experience in an accounting, bookkeeping, or administrative role
Knowledge of accounts payable/receivable processes and bank reconciliations
Proficient in QuickBooks, or other property management/accounting software (preferred)
Strong attention to detail and accuracy
Excellent communication and organizational skills
Ability to prioritize tasks and work independently
Experience in property management industry is a plus
