FOR THE NEW HIRE TO UNDERSTAND THEIR ROLE AND HOW TO BEST SUPPORT BOTH THE OWNER MANAGER AND FIELD MANAGERS WITH EFFICIENCY. THE PERSON IN THIS ROLE SHOULD HAVE THE ABILITY TO SUPPORT TWO STRONG WILLED FAST PACED DEPARTMENT MANAGERS AND BE ABLE TO SWITCH GEARS TO ASSIST FIELD DEPARTMENT MANAGERS IN A PLEASANT MANNER. WE ARE A COMPANY OF WELL SEASONED STAFF AND WOULD LIKE TO HIRE SOMEONE WHO IS WILLING TO STEP INTO THE POSITION AND AID IN THE SUCCESS OF OUR OPERATION AS WE MOVE INTO THE NEW YEAR. GENERAL RESPONSIBILITIES:
PHONES CALLS: COLLECTING, CLIENTS, AP, PARTS, FOLLOWUP.
MAINTAIN FILING SYSTEMS AND ACCOUNTING ELECTRONIC ARCHIVES.
MAINTAIN SAFETY MEETING FILES AND DOCUMENTATION.
MAINTAIN INSURANCE POLICIES AND TRACK RENEWAL DATES
MAINTAINING ALL VEHICLE REGISTRATIONS AND INSURANCE
CREATE JOB FILES, ORDER INSURANCES, TRACK CONTRACTS & CHANGE ORDERS
MAINTAIN JOB LIST, UPDATE AND DISTRIBUTE TO KEY PERSONNEL.
MANAGE PROJECT, VENDOR RELEASES AND ALL SUPPORTING PAPERWORK
CONSTRUCTION CONTRACTS AND CONSTRUCTION BILLING.
ASSIST PROJECT MANAGER ON ALL TASKS NEEDED.
INTERACTING WITH CLIENTS ABOUT ALL STEPS OF THE PROJECT.
COMPLIANCE OF ALL INCOMING NEW FILES.
PERFORM ANY OTHER OFFICE TASKS AS NEEDED.
QUALIFICATIONS
MUST BE SKILLED WITH QUICKEN
PREVIOUS EXPERIENCE IN CONSTRUCTION OFFICE ADMINISTRATION OR OTHER RELATED FIELDS REQUIRED
MUST BE ABLE TO READ AND COMPREHEND INSURANCE ESTIMATE/DOCUMENTS, WORKERS COMP DOCUMENTS.
ABILITY TO PRIORITIZE AND MULTITASK
EXCELLENT WRITTEN AND VERBAL COMMUNICATION SKILLS
STRONG ATTENTION TO DETAIL
STRONG ORGANIZATIONAL SKILLS
STRONG IN BILLING /RECEIVING/TIME MANAGEMENT/ JOB COSTING

BANK DEPOSITS
DOUBLE CHECK PURCHASE, CODE AND PROCESS RECEIPTS
PROCESS AP CHECKS FOR MAILING
PREPARE OUTGOING INVOICES FOR EMAIL MAIL AND CREATE INVOICE FILES
PREPARE PAYROLL CHECKS OR DISPERSMENTS FOR DISTRIBUTION
MUST BE DEPENDABLE AND NOT HAVE PERSONAL ISSUES AFFECTING DEPENDABILITY OF BEING AT WORKNO DRAMA
NEED SOMEONE WHO CAN BE ASSERTIVE OR AGGRESSIVE WITH GETTING WHAT'S NEEDED DONE WHEN MAKING PHONE CALLS. BEING PASSIVE WOULD NOT BE A FIT FOR THIS JOB.

COMPENSATION
$15-$20 hour to start depending on experience
