Personal Assistant to Executive VP

Location: Temecula Pkwy, Temecula 92592 (On-Site)

Job Type: Part-Time

Hours: Monday - Thursday, 9:00 AM - 2:00 PM

Compensation: $20/hour

Overview:

We are seeking a proactive and organized Personal Assistant to support our Executive. The ideal candidate will have a 'can-do' attitude and be a reliable professional with a great personality. Personal Assistant works directly with the Executive to gain insight on what is needed to be accomplished. From admin work to buying gifts for clients. Must be adaptable and willing to keep tack of multiple task. Capable of prioritizing tasks in a casual, yet, fast-paced environment.

Responsibilities:

- Manage the daily/weekly/monthly agenda and arrange new meetings and appointments.

- Prepare and disseminate correspondence, memos, and forms.

- Support and facilitate the completion of regular reports.

- Develop and maintain a filing system.

- Make travel arrangements and detailed travel itineraries.

- Enter data, some excel experience would be helpful but not required.

- Monitor office supplies and research advantageous deals or suppliers.

- Produce reports, presentations, and briefs.

- Run professional and personal errands for the Executive Manager.

- Handle confidential documents ensuring they remain secure.

- Potentially accompany the Executive Manager on business trips (not mandatory).

Requirements:

- Excellent organizational and time management skills.

- Outstanding verbal and written communication abilities.

- High level of discretion and confidentiality.

- Proficiency in MS Office, particularly Excel, Word, and PowerPoint.

- Ability to multitask and prioritize daily workload.

Personal Characteristics:

- Positive and outgoing personality.

- Strong interpersonal skills and comfortable in a dynamic atmosphere.

- Ability to handle complex and sensitive situations diplomatically.
