Job Summary:

We are seeking a highly organized PART-TIME proactive Office Manager to lead our daily administrative operations. You will be the central point of contact for staff, vendors, and clients, ensuring our office runs smoothly and efficiently.

1st shift start time 9am-10am / 20hrs per week /part time position

Key Responsibilities

QuickBooks & Financial Management:

Bookkeeping: Execute full-cycle accounts payable (AP) and accounts receivable (AR), including issuing invoices, processing vendor payments, and tracking collections.

Reconciliation: Perform regular bank and credit card reconciliations to ensure data accuracy.

Reporting: Generate monthly Profit & Loss (P&L), balance sheets, and cash flow reports for executive review or tax preparation.

Payroll: Manage time-tracking and process payroll, often coordinating with external providers or using QuickBooks' internal payroll features.

Microsoft 365 & Administrative Oversight:

Collaboration: Use Microsoft Teams to coordinate cross-functional communication and manage internal office announcements.

Data & Documentation: Leverage Excel for advanced tracking (e.g., job costing or budget variances) and Word for creating professional correspondence and standard operating procedures (SOPs).

File Management: Maintain organized cloud-based filing systems via SharePoint or OneDrive to ensure secure and easy access to company records.

Scheduling: Manage complex calendars for leadership and coordinate meetings using Outlook.

General Office Operations:

Vendor Relations: Serve as the primary point of contact for utility providers, landlords, and office supply vendors.

HR Support: Assist with new hire onboarding, maintaining personnel files, and ensuring compliance with workplace policies.

Facility Management: Oversee office maintenance, inventory of supplies, and equipment repairs to ensure a safe, productive environment.
