Admin Assistant/Customer Service Representative

As an Admin Assistant/Customer Support person your responsibilities will include taking orders from new and existing customers, developing strong relationships with new and existing customers, supporting our sales staff in their sales efforts, data entry into our Accounting System (Sage) and general customer service functions. In addition, you will assist the COO in the on-boarding of new employees, HR related issues, filing and other administrative functions. You will work with our internal planners and purchasing team to procure materials as needed, checking the history and inventory to ensure all orders are filled.

Duties and responsibilities

Responsibilities include, but are not limited to:

Taking inbound calls to from new and existing customers to include our existing distributor network.

Assisting Sales staff in procuring orders, data entry and sales order management

Build and maintain strong, long-lasting customer relationships

Provide pricing to clients in accordance with company guidelines.

Ensure the timely and successful delivery of our solutions according to customer needs and objectives.

Communicate clearly the progress of monthly & quarterly initiatives to management.

Manages inventory of assigned product lines ensuring adequate quantities as determined by sales history.

Forecast and track key account metrics (e.g., monthly & quarterly sales results and annual forecasts).

Collaborate with sales team, purchasing & planning teams to ensure growth attainment.

Assist with high severity request or issue escalations as needed.

Maintain a professional demeanor and appearance at all times with both internal staff and with potential and existing clients.

Other tasks assigned by management and deemed necessary to the operation of the position and/or organization.

Qualifications

Proven work experience in Customer Service, Purchasing and/or Inventory Control or other relevant experience.

Demonstrated ability to communicate and work as a team player.

Must be highly organized and able to multitask while managing several projects at a time.

Solid experience with Excel & PowerPoint; should have experience with CRM software.

Experience delivering client-focused solutions based on customer needs.

Excellent verbal and written communications skills.

BA/BS degree in Business Administration/Logistic/Supply Chain Management or relevant field preferred but not required.
