Human Resources Manager

Alexandre Family Farm (AFF) is a fully integrated organic dairy and egg farm. We produce milk at five dairy locations, operate a pasture-based egg ranch, grow our own organic hay, and operate a creamery where we process and package our Alexandre Family Farm brand of organic A2/A2 dairy products, which are distributed nationwide.

We are looking for a resourceful team member who, with direction from the executive team, will run the day-to-day functions of AFF’s human resources office.

The successful candidate will provide dedicated support to multiple units, focusing on preparing accurate payroll, employee recruitment and on-boarding, safety and regulatory compliance, and compliant record maintenance. This person is a resource for managers on complex issues such as policy enforcement, employee discipline, and wage and hour regulations.

Essential Duties and Responsibilities

1. Communicate clearly and concisely, and always with respect, to AFF’s team members in Spanish and English; translate, verbally and in writing, between Spanish and English.

2. Accurately prepare semi-monthly payroll, including timely submission of payroll reports and payments, tracking of benefits, PTO, and final wages.

3. Coordinate employee recruitment, for exempt and non-exempt positions, from creating the job posting to on-boarding and safety orientation, both remotely and in person.

4. Become knowledgeable in and be the main point of contact for H2A visa recruitment, contracts, on-boarding, and travel.

5. Assist with policy and procedure development. Work closely with an employee’s manager on complex and/or sensitive matters.

6. Update and maintain expert knowledge of each unit’s employee handbook, and all employment policies and procedures.

7. With the guidance of our benefits broker:

a. Coordinate annual insurance renewals and open enrollment; assist with 401(k) and/or other retirement plan options.

b. Answer employee questions and address concerns, encourage and train employees to use online resources.

c. Assist employees with qualifying life event benefit changes and ensure changes are properly recorded.

d. Ensure employment and benefit plan documentation is complete and compliant.

8. Oversee employee housing, including eligibility, placement, inspections, and termination of housing agreements.

9. With the safety coordinator, develop and lead a team of managers and employees who conduct safety meetings and communicate safety strategies.

10. Support managers in employee relations, disciplinary actions, performance management and improvement plans, FMLA, ADA, Workers Compensation and leave administration.

11. In collaboration with managers, create new positions, including seasonal, temporary, and full time. Assist with job description development and maintenance.

12. Assist with annual employee performance reviews, continuing education, certifications, staff recognition, and special events.

13. A variety of HR administrative tasks, including preparing reports for managers, keeping employee handbooks updated and compliant, and maintaining and developing HR SOPs.

14. Additional duties and special projects can be assigned.

Required Minimum Qualifications

Bilingual English/Spanish, written and spoken.

High school diploma or equivalent and 5 years’ experience in clerical or office work.

Proficient with Microsoft Office or Google Docs, including Outlook, Word, and Excel.

Proven ability to work independently and to efficiently organize and complete tasks within deadlines.

A self-starter with good organizational and communication skills, neat and detail oriented, able to think on your feet, work well under pressure, and have good people skills.

Preferred Experience and Knowledge, with the above minimum qualifications:

Possess a broad knowledge of HR topics that will enable you to perform a diverse set of daily tasks.

Experienced user of QuickBooks payroll or other payroll software.

A combination of education, related training, and experience working in human resources of 3 to 5 years.

Excellent written, verbal, and interpersonal communication skills in English and Spanish.

Understanding of state and federal employment regulations, including OSHA/CalOSHA regulations and compliance.

Experience with employee and compliance records management.

Strong analytical and problem-solving skills.

This is an exempt, in-person, full-time position. Minimal travel to unit locations is required.
