Job Summary:

We are currently seeking a dedicated and organized Administrative Assistant to join our team. The ideal candidate will possess excellent communication and customer service skills, be detail-oriented, and able to multitask effectively. As the Administrative Assistant, you will play a crucial role in ensuring the smooth operation of our office and contributing to the overall success of our business.

Responsibilities:

1. Scheduling Appointments:

Manage and coordinate customer appointments efficiently.

Communicate effectively with customers to confirm appointments and address inquiries.

2. Cash Register Management:

Maintain and balance the cash register.

Handle cash transactions accurately and responsibly.

3. Opening and Closing Procedures:

Assist with opening and closing the shop.

Ensure that security measures are followed during these procedures.

4. Billing and Data Entry:

Process bills and invoices accurately and in a timely manner.

Enter data into the system with a high level of accuracy.

5. Payment Processing:

Submit invoices to relevant agencies for payment.

Follow up on outstanding payments as needed.

6. Office Maintenance:

Keep the office space clean and organized.

Ensure a welcoming environment for customers and employees.

7. Inventory Management:

Manage office supplies and maintain an organized inventory.

Reorder supplies as needed to ensure seamless operations.

8. Assistance with Marketing:

Support owners with website & social media updates and marketing projects.

Contribute ideas and assist in the implementation of marketing strategies.

Qualifications:

High school diploma or equivalent.

Previous experience in administrative roles, preferably in an automotive or customer service environment.

Proficient in Microsoft Office Suite and basic knowledge of data entry systems.

Excellent communication and interpersonal skills.

Strong organizational and multitasking abilities.

Attention to detail and accuracy in handling financial transactions.

Compensation & Hours:

Hours – Mon-Fri 8:00 to 5:00pm

Pay depends on experience
