About The Job

Dudek is looking for a dynamic marketer who is interested in joining an employee-owned company focused on shaping sustainable natural and urban environments. Our ideal proposal assistant will have strong writing and communication skills, knowledge of the AEC industry, and a can-“du” attitude. This position focuses on coordination, support, and honing in on skills by working with our proposal leads.

Dudek’s marketing team is a streamlined group that supports our project managers to develop new work and market clients with our diverse service offerings. Our Proposal Assistant will work closely with proposal leads to assist in the development of strong content for proposals and other marketing communications, as needed.

Duties and Responsibilities (may include some or all of the below):

As a Proposal Assistant, you will be:

Supporting proposal coordinators, senior proposal coordinators, proposal managers, and senior proposal managers on non-technical proposal tasks

Supports the Proposal Team by owning administrative tasks such as tracking leads, pulling RFPs, submitting proposal support requests, updating resumes, and updating proposal records as needed.

Gather content from team and consultants as needed.

Conducts background research and CRM searches to help the proposal team properly fill out forms, inform content, and other requests.

Maintains proposal records in the CRM database (Vantagepoint) and AirTable.

An experienced AEC marketer with proposal writing/coordination experience.

Minimum Requirements

High school diploma

0+ years’ experience in proposal writing and coordination

As a federal contractor, successful candidates are required to pass the following pre-employment requirements prior to beginning employment: pre - employment drug test and background check.

Preferred Qualifications

Bachelor's degree in Marketing, Journalism, English, related field, or relevant experience

Proficiency with MS Office, Adobe Creative Suite, SharePoint, Deltek Vision, Deltek Vantagepoint, GovWin, Zoom, and online meeting tools

Outstanding business writing skills

Proven ability to multi-task and prioritize multiple proposals and deadlines at once

Strong verbal communication skills

Ability to work independently and meet all deadlines

Physical Requirements

Working Conditions:

This job operates in a remote or office-based environment and this role routinely uses standard office equipment such as computers, phones, printers, etc.

This job requires occasional project site visits-based outdoors which can include excessive noise, uneven walking surfaces, extreme weather, moving vehicles and equipment.

Physical Requirements: The physical demands described here are representative of those that must be met in order to successfully perform the essential functions of the job.

This job requires working on a computer, sitting or standing for long periods of time in an office or remote office setting.

This job requires attending meetings, both in person and virtually as well as speaking on the phone with peers, clients, etc. Speaking, hearing and listening are required.

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

Outdoor activity may involve walking/trekking in uneven terrain over long distances in extreme weather conditions for extended periods of time.

Proposed Salary Range: $28.84 - $33.65 per hour

Final agreed upon compensation will be based on a variety of factors including but not limited to an individual’s related experience, education, certifications, skills, and work location.
