Job Overview:The Facility Administrator willprovide the highest level of customer service to all residents and visitors by demonstrating a courteous, helpful, and professional demeanor over the phone and in person. Being able to readily identify the service needs of our clients, residents, as well as co-workers and vendors.Compensation: $20-23.50FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.Job Responsibilities: Include the following. Other requirements may be assigned.

Must possess the ability to independently answer all incoming calls and place outgoing calls.

Must have excellent customer service skills and greet clients and guests cordially and in a professional manner.

Must be calm and have the ability to multi-task.

Process gate access requests.

Process new member paperwork, and input information into Connect.

Review and respond to voicemail messages and emails.

Keep the office organized and welcoming.

Work effectively with co-workers, customers, and others by sharing ideas constructively and positively; listen to and objectively consider ideas and suggestions from others; keep commitments; keep others informed of work in progress, timetables, and issues; address problems and issues constructively to find mutually acceptable and practical business solutions; address others by name, title, or another respectful identifier, and; respect the diversity of our workforce in actions, words, and deeds.

Assist with additional administrative tasks/projects as needed.

Handle all landscape work orders, punch lists, and enhancements by working closely with the landscape vendor, landscape committee, and management.

Coordinates condominium elevator inspections and maintains a schedule.

Responsible for completing daily and weekly deposits.

Process incoming DRC applications, assist in preparing the DRC package, and learn the process to facilitate the DRC Meeting.

Maintain office supply inventory and replenish as needed.

Create board reports as required.

Keep all filing current and maintain well-organized files.

Familiar with policies, procedures, and practices of the Community Association as they relate to the Compliance Rules and Regulations.

Be prepared to take calls from board members and homeowners and attempt to assist them, keeping customer service in mind. If the Facility Administrator does not have the information, inform the caller that they will work with staff to obtain the information.

Handle all mail and process any Federal Express or courier packages as needed.

Keep office machines and equipment operational, i.e., adding paper and/or toner, and calling for service when necessary.

Keep the resident form center in Lake Center updated and stocked.

Gather and update resident and tenant information in Connect, MyTGI website, and other related databases.

Receive resident inquiries and requests and enter work orders and data into Connect.

Verbal and written ability to formulate effective correspondence necessary to perform the job.

Skills & Qualifications:To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Must have a minimum typing speed of 45 WPM.

Must be able to handle multiple tasks and the pressure of deadlines.

Intermediate knowledge of Microsoft Applications, especially Word and Excel.

Excellent written and verbal communication skills.

Must be able to demonstrate organizational skills and the ability to prioritize.

Must have the use of reliable transportation to run business-related errands.

Education & Experience:

High School Diploma or GED equivalent

Must have previous administrative background
