Ministry Administrative Assistant

Title: Administrative Assistant
Purpose: To support various church ministry activities, youth, children’s, college, young adult as assigned
Supervision: The Administrative Assistant will report to the Office Manager, with input from assigned ministry leader(s)
Status: Part Time, (Up to 28 hours), some benefits available.
Evaluation: The Office Manager will perform the annual performance evaluation. This will be done including consultation with assigned ministry leaders
Required Qualifications:
Must have at least two years of administrative experience, ideally in a non-profit setting.
1. Must having minimum keyboard skills of 40 Words Per Minute
2. Must have working knowledge of Word and Excel, (intermediate to advanced skills)
3. Operate standard office equipment
4. Flexible schedule required, may work some Sundays
5. The ability to work with a variety of church members, students, and church leadership
Abilities:
1. Maintain confidentiality at all times
2. Communicate orally in a clear and concise manner
3. Respond easily to routine inquiries, explain church procedures and policies.
4. Self-motivated, resourceful.
Core Tasks: (will vary by ministry)
1. Creating emails, phone calls as directed (students, parents, guardians etc.)
a. To encourage volunteers to support activities
b. Staff connections as needed
c. Creating an effective communication process
d. Writing thank you notes/letter writing
e. Assist with designing ministry events
f. Oversee registrations for special events.
g. Create travel binders, (offsite youth events)
h. Distribute/maintain liability/medical insurance information, (youth, children)
i. Developing off campus events.
j. Schedule meetings, congregants, follow up emails
k. Assist with credit card reports, re: ministry leader, pastor etc.
l. Recruit drivers for special events, off site/Arrange use of church vehicle
m. Collaborate with hospitality team, re: events, including set up and tear down needs
Additional Responsibilities:
1. Maintain confidentiality.
2. Offer a supportive attitude to the church staff
3. Prayerful and open understanding of the Mission & Vision of the Statement & Core Values of Bidwell Presbyterian Church
4. Possible assistance with youth/college events.
5. Communicate by text messaging, (Clear Stream app)
6. Posting on Instagram, Facebook, etc.
7. Assist with Session reports/coordinate with Pastor/Elder.
8. Assist with Wednesday night activities as able
Staff Connections:
1. Develop working relationships with staff & church family
2. Be available as needed for administrative tasks that may develop
Physical Demands:
The physical demands are representative of those that must be met by an employee to successfully perform the essential functions of this job. mile performing the duties of this job, the employee is regularly required to sit and talk or listen. The employee frequently is required to use hands to finger, handle or feel and reach with hands and arms. The employee is required to stand and walk. The employee must occasionally lift and/or move up to thirty pounds. The work environment is one of an office with a controlled temperature.
