The primary role of the Personal Assistant is to support the administrative needs of our CEO/Owner. This entails coordinating schedules, organizing projects, managing correspondence, and handling both business and personal errands. Personal errands may include tasks such as dropping off dry cleaning, taking a car to the shop, picking up lunch, or working offsite.
Candidates must possess familiarity with Excel to be considered.
This position requires the ability to manage multiple tasks on a daily, weekly, and monthly basis, as well as handling miscellaneous tasks as they arise. A high level of organizational skills and a strong work ethic are essential to ensure the smooth functioning of the position, both independently and in support of other company members. Initial interviews are conducted via FaceTime, with in-person interviews required for subsequent stages.
Responsibilities:
Executive Administrative Support:
Drafting and reviewing emails on behalf of the CEO
Managing company and executive calendars, scheduling appointments
Assisting with special projects for the administrative and executive teams
Handling phone calls
Coordinating company travel arrangements
Supporting HR with tasks such as job postings, onboarding new hires, managing insurance, and organizing training
General office coordination, including ordering supplies, filing, and data entry
Providing support to various departments within the organization
Maintaining physical and electronic files through scanning and organization
Assisting the Accounting Department with phone and email support
Creating and analyzing reports using Excel
Conducting internet research on companies, events, prices, and other topics
Personal Administrative Support:
Running personal errands
Handling miscellaneous shopping and on occasion purchasing lunches
Scheduling contractors for home maintenance and repairs
Requirements:
Must possess an average credit score and an Arizona driver's license
Drug-free status
Ability to thrive in a flexible, on-call environment
Ownership of a smartphone and familiarity with tech
Excellent written and verbal communication skills
Proficiency in Microsoft Office
Strong multitasking abilities
Analytical and problem-solving skills
Capacity to work independently, exercise judgment, and take initiative
Prior experience as an executive administrative assistant, senior executive assistant, or in another secretarial position
High level of organizational skills
