This family-owned business serves the Maricopa County area and has been creating quality custom landscape designs since 1992.

ADMINISTRATIVE ASSISTANT MANAGER JOB DESCRIPTION:

Hawkeye Landscaping, Inc is seeking an Administrative Assistant. The ideal candidate will excel at organizing and coordinating office administration and procedures. The Administrative Assistant will perform a variety of support functions that ensures efficient day-to-day operations in the office.

Responsible for maintaining and developing the efficiency of the staff and company. Adjusting communication protocols, streamlining administrative procedures, rental management, inventory control to increase and maintain the seamless and profitable flow of projects.

Energetic professional who doesn't mind wearing multiple hats and not afraid of working. Experienced in handling a wide range of administrative support related tasks and able to work independently. Well organized, flexible and enjoys the administrative challenges of supporting an office of other hard working people.

Hours are Monday-Friday, 8am-5pm.

RESPONSIBILITIES:

Answering phone calls and calling customers and vendors to follow-up on appointments and questions

o AP/AR/Payroll/providing PO’s

Organize, confirm and schedule appointments

Provides information and addressing customer project service issues

Maintains professional communication via phone, text, email, and mail

Proficiency in MS Office, Excel and QuickBooks programs

Manages and utilizes filing systems both physical and electronic

Compiling & records of office business transactions

Mail pick-up and distribution

Prepare communications such as memos, texts, emails, invoices, reports and other correspondence

Assist in the preparation of regularly scheduled reports and education material

Update and maintain office policies and procedures

Act as the point of contact for internal and external clients

Knowledge of office management systems and procedures

Assist with rental management for homes, boat and RV storage

Inventory control

Excellent time management skills and the ability to prioritize work

Attention to detail with critical thinking and problem-solving skills

Excellent written and verbal communication skills

Strong organizational skills with the ability to multi-task

Contributes to team effort by accomplishing related results as needed and indicated for all areas of projects, accounting, and rentals

o Job costing/education/ordering material/bookkeeping

REQUIREMENTS:

Proven administrative or assistant experience

Knowledge of office responsibilities, systems and procedures

Excellent time management skills and ability to multi-task and prioritize work

Attention to detail and problem-solving skills

Excellent written and verbal communication skills

Strong organizational and planning skills

Proficient in MS Office, Excel and QuickBooks

Knowledge of accounting, data and administrative management practices and procedures

Overview of daily activities includes but not limited to email, contact form, scheduling, ordering or finding material, typing estimates to verify input, filing, AP/AR/Payroll/Timesheets, job costing, tool tracking, follow up calls to pre/post customers, assisting field employees to help their efficiency, show RV/boat spaces, draft leases, call delinquencies, process payments, check mail, follow up and find information for customers throughout the day.

Job Type: Full-time M-F 8-5

Pay: $22 - $29.00 per hour DOE / work performance/efficiency
