Job Title: Guest Ranch Event Coordinator Job Description

Job Type: Full-time, Live-in

Overview: We are looking for a dynamic and dedicated Ranch Event Coordinator (or couple) to manage and execute a wide range of events at our picturesque ranch, while also overseeing animal care. This live-in position is ideal for individuals or couples passionate about hospitality, event planning, and ranch life. The role requires a balance between providing exceptional guest experiences and maintaining the day-to-day operations of the ranch.

Key Responsibilities:

Event Planning & Coordination:

Plan and coordinate various events such as weddings, corporate retreats, family reunions, and other special occasions.

Collaborate with clients to create event timelines, layout plans, and coordinate with vendors (e.g., caterers, florists, musicians).

Manage event logistics from setup to breakdown, ensuring smooth and successful execution.

Operations & Logistics:

Oversee the maintenance and preparation of event spaces and ranch facilities.

Supervise the setup of tents, chairs, décor, and equipment.

Coordinate event logistics, including parking, shuttles, and crowd management.

Client Relations:

Serve as the primary point of contact for clients, ensuring their needs are met and their vision is brought to life.

Provide top-tier customer service during events, addressing any challenges that arise professionally and efficiently.

Hospitality & Guest Services:

Ensure that all guests feel welcome and have a memorable experience throughout their stay or event.

Manage guest accommodations, ensuring that rooms and facilities are clean, comfortable, and meet guests' expectations.

Offer guided ranch tours or organize outdoor activities such as horseback riding or hiking as part of event packages.

Vendor & Staff Management:

Hire, train, and oversee seasonal or event-specific staff, including caterers, decorators, and musicians.

Foster strong relationships with local vendors to guarantee high-quality services for all events.

Ranch Operations & Animal Care:

Ensure the health and well-being of the ranch’s animals, integrating animal care with guest experiences as appropriate.

Participate in hands-on ranch work, including feeding and caring for animals and maintaining ranch grounds.

Qualifications:

Experience in event planning, hospitality, ranch management, or animal care preferred.

Strong organizational and multitasking skills to manage multiple events and responsibilities.

Excellent communication and interpersonal skills to work effectively with clients, vendors, and staff.

Ability to perform physically demanding tasks, including setting up equipment and caring for animals.

Willingness to work flexible hours, including weekends and evenings, in a rural, outdoor setting.

Attention to detail and problem-solving skills.
