Positions Characteristics:

This position exists to support SERRC’s Executive and Associate Directors, the Board of Directors and other SERRC staff. The Executive Administrative Assistant / Office Manager will directly supervise administrative staff and provide oversight of office operations, ensuring job duties are completed in an accurate and timely manner. Also, under the direction of the Executive or Associate Director, this position may be expected to coordinate or delegate activities of / to other administrative assistants. This position works under and reports to the Executive Director.

Job Qualifications:

High school diploma or equivalent and two years post-secondary business, technical, or college course work. Associate degree preferred.

Two years experience with activities related to Administrative Assistant / Office Manager responsibilities

Ability to work with people from diverse educational, cultural, social and economic backgrounds

Demonstrated oral and written communication skills

Strong interest and ability to work as a team member

Ability to work autonomously

Demonstrated organizational skills and abilities

Knowledge of office technology including computers, email, Internet, phones, FAX, copier, basic mailroom equipment and other systems

Position Duties/Responsibilities:

Support and assist program staff in preparing RFPs, contracts, data entry, training materials and resources in a variety of education areas.

Arrange travel for board and staff as requested including setting itineraries, purchasing tickets, maintaining travel logs, and processing all travel paperwork. Review expense reports for reimbursement.

Prepare, edit with accuracy, and distribute: correspondence for final signature; reports; grants; databases; Board and staff minutes; training materials; and, other documents as needed.

Establish and maintain office files, office forms, staff files, project records and mailing lists. Build, organize and maintain accurate databases, records, and submit reports, as required.

Assist in setting up meetings and projects.

Provide technical assistance to staff in developing databases and other record keeping systems.

Perform duties assigned by Executive or Associate Director.

Attend required training.

Coordinate AK Drive Program. Renewing license and certification to ensure all paperwork is up to date.

Respond to questions or requests for information; resolve problems; gather requested information conducting general research using the Internet.

Gather information on prices and availability of goods, prepare delivery orders and purchase orders for routine supplies and equipment. Inventory and reorder when needed and keep in an organized manner.

Coordinate delivery and pick-up of needed documents/files from agencies and departments.

Act as liaison with service providers to maintain building facilities.

Perform basic office operations including scheduling appointments, answering a multi-line phone system and greeting clients. Answer routine information requests from SERRC employees, clients, and the general public and relay messages to staff members.

Provide orientation and train new office staff and temporary personnel as requested.

Maintain courteous and professional image of the agency as providing a central source of information for staff and community.

Prioritize tasks and develop procedures to complete all assignments in the timeliest manner possible.

Assist in the promotion of and recruitment for all SERRC programs.

Other duties as assigned.
