JOB DESCRIPTION
POSITION: Assistant Director
DESCRIPTION OF POSITION: Under the direction of the Executive Director (ED), the Assistant Director (AD) serves as manager of the school office and support for the school. The Assistant Director organizes, directs and performs varied and complex clerical and secretarial work with confidentiality and sensitivity for a school providing toddler and preschool education as well as childcare services for children in accordance with the philosophy and objectives of the Juneau Montessori School.
The AD engages in clear, consistent communication with the Executive Director, staff and prospective parents in all aspects of school operations and its programs.
The AD carries out the broad duties established by the ED. Within these duties [the AD provides administrative and supervisory support for the ED and staff] and has responsibility for the day-to-day operation of the school’s programs.
REPORTS TO: Executive Director
QUALIFICATIONS:
Education and Experience: The AD must have a high school diploma and demonstrated ability in organization, office management, and communication is required. A candidate with a background in administration and supervision is desirable. A candidate with Montessori Certification is a plus.
Knowledge and Skills: The AD must demonstrate an ability to understand and carry out administrative procedures and responsibilities, including supervising staff daily, writing timesheets, managing time off requests, staff certifications, keeping staff certifications up to date and must have a demonstrated ability to develop and maintain effective working relationships. Must be highly organized and self motivated to complete day-to-day tasks and duties in a constantly changing environment.
DUTIES AND RESPONSIBILITIES:
General Administration - 35%
Maintains student files, including applications, immunization records, emergency contact and information forms, attendance records, setting up profiles and billing in the Brightwheel app., etc.
Works with the ED to implement school procedures and policies.
Schedules and runs monthly fire drills.
Maintains school wide personnel leave calendar.
Maintains inventory of maintenance, cleaning, and classroom supplies.
When sufficient staff are not available, the AD will fill in to maintain legal child/adult ratios or help complete daily classroom tasks.
Serves as Childcare Administrator in charge when ED is out.
Personnel Management - 35%
Supervises all assistants and float staff, including:
Providing new staff with basic orientation training.
Coordinating working conditions and scheduling.
Helping staff find tools they need to succeed, having regular check-ins (informal and formal), and implementing performance improvement plans where needed.
Maintaining personnel files:
Personal File: that includes completed application, completed observation questionnaire, two forms of identification, W4 forms, Infant/Child CPR and 1st Aide Cards. Three positive letters of reference, fingerprint reports and/or background checks, driver’s questionnaire, employment agreements and/or contracts, and evaluations.
Financial File: including timesheets and paycheck stubs.
Training File: including training certificates and up-to-date training log.
Supervising staff schedules, employee files, time off requests, CPR/FA certifications, staff appreciation.
Along with the ED, plans and conducts staff meetings, which cover the discussion of Montessori philosophy, children, school policies, curriculum and management.
Child and Parent Relations - 30%
Builds and maintains positive relationships with children and parents.
Along with ED, ensures that parents are kept appropriately informed of issues and activities affecting their children and the school.
Notifies ED of updates to be included on the ED weekly email, such as when emergency cards need to be renewed.
Checks Brightwheel messages daily and communicates with parents about illness, attendance, volunteer opportunities (such as playground volunteering), incidents, and other matters that are not related to children’s development.
Answers families’ questions about JMS. Provides helpful information with a supportive approach to child development. Informs ED of any ongoing issues or concerns.
