DUTIES AND RESPONSIBILITIES

Office Management:

Ensure all policy and procedure manuals (electronic and physical) are up-to-date and complete.

Participate in planning and implementation of new programming that is continuously evaluated for effectiveness.

Create and maintain Grant and Contract files, including all updates and reports.

Assist Directors in preparation of reports and required documents.

Ensure front desk services are efficient and hospitable, including:

Visitors are greeted and agree to confidentiality standards, and are directed to appropriate staff.

Outgoing and incoming mail, including bulk mailings, are processed appropriately

Scan, copy or file documents and organize paper flow of office

Receipts for donations (in-kind credit and cash) are created and processed

Correspondence is processed/answered in a timely manner

Program and office supplies and forms are ordered and stocked; track needed supplies.

Manage AWARE conference room and vehicle usage calendars.

Ensure all facility maintenance is completed and timely- create process for reporting and tracking maintenance accessible to all staff.

Ensure safety policies are implemented, including fire and other emergency policies are practiced and updated.

Ensure vehicle maintenance is completed and timely.

Ensure smooth coordination with IT provider, create process for tracking internal IT related equipment.

Coordinate and book travel for AWARE employees as needed for trainings and conferences and assist employees with both pre and post travel documentation and expense reconciliation forms.

Request and produce staff notes prior to semi-monthly staff meetings.

Responsible for personnel-related tasks, including but not limited to:

posting/editing hiring announcements

new employee orientation

background checks in compliance with all state and federal requirements for all new employees/required volunteers.

creation and maintenance of personnel files. Perform quarterly checks to ensure all required documentation is present.

ensure annual performance evaluations are completed for all staff, and documented in personnel file.

ensure process for tracking employee trainings. Document in personnel file.

ensure personnel files are complete and ready for audit/on-site. Work with auditors to ensure positive audit results.

Supervisory Duties:

Provide supervision, guidance and evaluation for Admin staff, including Janitorial/Maintenance and front office staff

Promote psychological safety and equity within AWARE through positive, direct communication and trauma-informed supervisory practice

Advocacy & All-Staff Tasks:

Meet regularly with supervisor for supervision and support.

Provide advocacy, answer crisis line, and assist with program participant service delivery when necessary and as needed.

Provide program participants with basic information on DV/SA including: dynamics of battering, sexual assault, chemical dependency, lethality and safety planning.

Perform record-keeping activities associated with program participant contact or as required for data collection or inter-staff communication.

Attend staff meetings and trainings as scheduled.

Report cases of suspected abuse or neglect of children or vulnerable adults to the Alaska Office of Children’s Services or Adult Protective Services, and the Juneau Police Department as required.

Comply with AWARE Personnel and Administrative Policies.

Other duties as assigned.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

Must pass AWARE background check.

Must possess a valid Alaska Driver’s License or efficient transportation plan for office-hour tasks that require travel

Must have or be willing to obtain CPR and First Aid Certification.

Must possess knowledge, skills and experience in personal computers and various software including spreadsheets and word processing, filing systems, and office practices and advanced management.

Must have prior experience in an office or administrative capacity (1yr+)

Must have a thorough understanding of domestic violence, sexual assault and the needs of victims or the willingness to learn.

Must have the ability to remain objective and to perform under stressful conditions.

Must have the ability to understand and communicate with people of different socioeconomic and cultural backgrounds.

Must maintain confidentiality.

Must support AWARE’s Mission and Philosophy.

Must be fully Vaccinated for COVID-19 prior to first day of work, or submit request for a federal allowable exclusion to the mandate

SALARY AND HOURS
