Customer Service Representative

Exemption Status: Non-Exempt, Hourly

Location: Anchorage, AK

Reports To: Assistant General Manager

Position Summary

Processes orders for merchandise received by mail, telephone, fax, E-mail or personally from customer or company employee by performing the following duties.

Principle Accountabilities

Take and key orders using the online website and advise customer if the order is close to the current dollar discount and inquire if they would like to take advantage of the discount by adding on to the order.

Edit or revise orders per customers’ requests by adding or subtracting items from their current order ; be able to add necessary adjustments to the order like discounts and prepaid air freight fee ( by getting obtaining air freight quotes ) and still have an accurate total dollar cost for the customer.

Prepare incoming carts of goods to ship to specific customers from partnered vendors by accounting for all the items against the orders’ receipts, collect payment information , method of shipment and as well as advising customers on how to ship goods.

Breakdown and inventory of pallets of merchandise ready for filling orders

Prepare orders paperwork for packing by setting the up into the database with accuracy and preparing shipping paperwork if needed, i.e. Air freight forms and Bill of Lading Forms. Specify if special labeling is required for shipment and in some instances supplies to the shipping department.

Fill orders in the warehouse by pulling merchandise with accuracy specific to what the customer ordered, i.e. unit size , weight , brand and description of the product.

Account for all items that are left over after filling orders and put away stock items if needed, keeping the rest of the stock merchandise straightened on the shelves.

Retrieve copies of receipts for merchandise that need to go back to vendors in a timely manner.

Send notification emails to customers when their orders ship.

Receive inbound or make outbound calls by taking customer complaints, resolving basic customer concerns in partnership with management or answering general questions of our customers.

Confer with production, shipping, warehouse, or common carrier personnel to expedite or trace missing or delayed shipments.

Check for voice mails and postage any outgoing mail in the office.

Maintain customer name and address data base.

Prepare materials for promotion of the business like preparing catalog packets and giveaways, compile statistics, and prepare various reports for management.

Record retention which includes scanning of documents and maintaining files.

Conduct marketing calls while establishing and maintaining relationships with our customers.

Assist management with the inventory process which includes receiving purchase orders from vendors.

Assist management with order Audits.

Assist management with the integrity of AK Long Distance Purchase Agreement Form.

Assist management with the verification of special shipments, i.e. release of Air Freight.

High School diploma or general education degree (GED); or one to three months related experience and/or training: or equivalent combination of education and experience.

Ability to read and interpret documents such as procedure manuals, work instructions, software manuals.

Ability to write routine reports and correspondence. Ability to speak and communicate well with customers.

Must be familiar with all products lines and customer base.

Individuals may need to sit or stand as needed.

May require walking primarily on a level surface for periodic periods throughout the day. Reaching above shoulder heights, below the waist or Lifting as required to file documents or store materials throughout the work day. Proper lifting techniques required. May include lifting up to 25 pounds for files, computer printouts on occasion.

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
