Support Auxiliary Services Conferencing and Events for all aspects of those services on APU’s campus to maximize the use of APU’s facilities while not in use for academic purposes.

Oversee the campus store and the mailroom operations in all aspects of daily needs. Work autonomously to develop existing and new relationships with vendors to reduce expenses and/or increase revenue opportunities.

REPRESENTATIVE DUTIES

Coordinates and supervises student work force

Assists with and anticipates Renters’ needs and internal event needs

Serves as house manager for all events

Coordinator of the E.R. Brown Auditorium event usage.

Supervises and performs room transitions between CHAP sessions Anticipates needs and stays in communication with other personnel involved with that program

Maintains an inventory and restocks expendable supplies for campus-housed and/or overnight guests

Clerical work in file keeping and document storage

Works with Director of Auxiliary Services to coordinate with various University departments to fulfill event requirements and/or requested services including reserving rooms, determining catering needs, preparing conference materials, tracking various expenditures and revenues, collecting fees and maintaining necessary records

Maintains inventory of campus equipment used for Conferencing

Attends major events to facilitate operations and respond to emergencies

Schedule facilities and services for University and outside organizations events.

Assist in maintaining facility use calendar, reserve appropriate space with academic and student priority consideration

Integrate facility use calendar with event planning and rental software(s)

Weekend work will include performing cleanup and maintenance of all Conference Halls

Supervises campus store and mailroom staff

Tracks and monitors budgets for the campus store and mailroom

KNOWLEDGE and SKILLS

Knowledge of safe work practices

Knowledge of scheduling

Knowledge of theatre systems and practices

Knowledge in using audio-visual technology

Knowledge in basic computer technology.

Skills in public relations and handling complaints with tact and professionalism.

Skill In coordinating several events simultaneously

Skill in effectively supervisory skills, including the ability to train employees.

Skill in working effectively with little supervision.

Skill in organization.

Skill in actively solving problems and creating solutions while completing daily tasks.

Skill in both verbal and written communication.

Skill in attention to detail.

Skill in working with Microsoft Office suite.

MINIMUM EXPERIENCE QUALIFICATION

Non-Supervisory: Two (2) years of procurement/purchasing experience AND two (2) years of experience in event management.

MINIMUM CERTIFICATION QUALIFICATION

Serve-Safe manager certification required. TAP card required.

ADDITIONAL REQUIREMENTS

Required to maintain a flexible work schedule to coordinate, lead and assist with after-hours and weekend events.

MINIMUM PHYSICAL REQUIREMENTS

The following demands are representative of those that must be met by an employee to successfully perform the essential functions of this job. The position is required to stand for long periods throughout the day; walk; sit, reach with hands and arms; climb stairs; balance, or kneel. The employee must be able to lift and/or move up to 50 pounds on a regular basis.
