Summary:
A Commercial Refrigeration Service Coordinator plays a crucial role in ensuring the smooth and efficient operation of the service department. They act as the central point of contact for customers and technicians, coordinating service calls and performing various administrative tasks to support the overall business.
Responsibilities:
Customer Service:
Answer incoming calls in a professional and courteous manner.
Gather detailed information about service requests and accurately enter them into the dispatch system.
Provide updates to customers regarding appointment status and any changes.
Respond to customer inquiries and resolve issues promptly.
Dispatching:
Use dispatching software and other communication tools to optimize routes and ensure timely arrival of technicians
Book travel as needed.
Monitor the progress of field technicians throughout the day.
Communicate with technicians regarding job details, special instructions, and required parts.
Administrative Support:
Ensure technicians properly document all required information on service tickets.
Assist with processing service tickets into billings.
Receive and schedule automated work order requests.
Assist with other office and field support tasks as needed.
Maintain organized records and documentation.
Qualifications:
Previous experience in a dispatcher or administrative role, preferably within the HVAC or service industry.
Strong communication skills, both written and verbal.
Excellent customer service skills.
Ability to work well independently and with others individually or as part of a team.
Strong organizational and multitasking skills.
Ability to prioritize and manage time effectively.
Strong computer skills, MS Office is a plus.
Experience with dispatching software (e.g., FSM, BuildOps) is a plus.
Must be willing to take drug test & background check.
Working Conditions:
In-office environment, working standard business hours, Monday through Friday 8am-5pm with 1 hour lunch break.
May involve prolonged periods of sitting and operating business equipment.
