VP of Instruction and Student Services and Dean of Students

(FT, 12 months)

Opening Date: November 13, 2019

Review Date: December 2, 2019

Closing Date: Open until filled

Location: Lummi main campus

Salary: $36,800 to $41,000 Max DOE

The salary placement upon hire will be based on the selected candidates education and relevant work experience as outlined in the job announcement and the established salary schedule for the classification of the position to be filled.

SCOPE OF WORK

This position is responsible to both the Vice President of Instruction and Student Services and the Dean of Students for administrative support ranging from complex to routine duties, all of which contribute to the efficient and professional operation of the Center for Student Success. The Administrative Assistant must have genuine appreciation for and understanding of protocol, discretion and professionalism, and be able to accept and assume responsibility.

DUTIES & RESPONSIBILITIES

1. Report to and work directly for both the Vice President of Instruction and Student Services to ensure smooth management and operation of the Office of VP of Instruction and Student Services and the Dean of Students to provide additional support as needed.

2. Answer and screen calls and respond to email requests in a timely manner.

3. Provide secretarial support to supervisors; coordinate office operations; manage calendars and schedules to make certain that identified priorities are addressed in a timely manner.

4. Follow up with appropriate staff to ensure requests and correspondence is responded to on a timely basis; establish tracking/feedback system to ensure issues are recorded, addressed and resolved, such as Curriculum Committee matters.

5. Follow the NWIC Catalog and Student Handbook when handling student grievance issues. Maintain confidentiality in all student matters.

6. Arrange travel, prepare itineraries, prepare and organize all background materials in advance.

7. Develop budget estimates, monitor and control budget status and expenditures, record maintenance including institutional or grant funds.

8. Assist in ensuring adherence to institutional procedures or funding agency guidelines regarding tasks such as budgeting, purchasing, and grant reporting.

9. Prepare documents such as those related to travel, purchasing, budget and event coordination.

10. Maintain a common filing system, for example, for all course syllabi.

11. Assist in updating handbooks/manuals for Center for Student Success.

12. Reconcile credit card statements, travel and other bills to receipts for submission to the Business Office in a timely manner.

13. Maintain records regarding vacation and leave requests for staff reporting to the VP of Instruction and Student Services and for the Dean of Students

14. Ensure a safe and healthy work environment by complying with the college health and safety policies.

15. Serve as departmental office manager, ensuring supplies and equipment in CSS are regularly stocked and maintained, including printers.

16. Other duties as appropriate assigned by supervisors.

QUALIFICATIONS to perform the position successfully:

Minimum Qualifications:

Associate's degree in Business or related field

AND

5 years of prior experience in the field

Excellent computer/technology skills

Excellent communication, organizational and customer service skills

Experience with, and sensitivity to, Native American people and dealing with the barriers of entering post-secondary education programs

Other Qualifications:

Must have a current driver's license and driving abstract that meets employer qualifications for insurability.

Language Skills:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Mathematical Skills:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability:

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

Computer Skills:

To perform this job successfully, an individual should have knowledge of Cuff accounting software, design software; Internet software, order processing systems, spreadsheet and word processing software.

Other Skills and Abilities:

Ability to handle confidential and proprietary information with utmost discretion, judgment, respect, tact and poise

Experience working in higher education and with grants

Experience working with cuff accounts

Ability to represent the College in a positive and professional manner

Ability to maintain professional work relationships
