Major Duties and Responsibilities

Receptionist Duties

  • Welcomes on-site visitors and customers entering the bank, determines nature of business or banking needs, ensures that their needs are met by announcing them to the appropriate personnel
  • Minimize customer wait time by communicating and coordinating with other bank staff and ensure customers are attended to while waiting
  • Coordinate and work with other bank employees to ensure the banking needs of customers are promptly met
  • Schedule appointments, provide and obtain contact information and ensure messages are delivered and followed up on
  • Maintain break room and common areas, general cleaning and organizing
  • Order, receive, store, and maintain inventory and office supplies
  • Process loan payments

Marketing

  • Plan and schedule marketing events, including obtaining items necessary for such events
  • Assist the Mortgage Team and individual team members with other marketing efforts such as sending mailings to mortgage customers, prospects and/or reference sources
  • Prepare and deliver open house flyers

Internal Customer Service

  • Assist with scheduling team meetings and activities
  • Assist with making business travel plans, making reservations, preparing expense reports and preparing and submitting Wyoming Workforce grant applications
  • Assist with organizing and maintaining information/documentation

External Customer Service

  • Maintain an awareness of Mortgage Team Members’ schedules, customer appointments, loan closings and other relevant activities to assist customers and Mortgage Team Members in maintaining schedules and attending appointments, loan closings and other activities
  • Greet customers to assist and direct them as appropriate
  • Take phone calls regarding mortgage matters and assist and direct customers as appropriate
  • Deliver and receive documents
  • Notarize documents
  • Take messages and schedule appointments

Must provide exceptional customer service and comply with all company policies and procedures, applicable laws and regulations, including but not limited to, the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control.
