Position Summary:

At Delta Defense, as an Events Specialist, you’ll play a pivotal role in event planning, logistics management, and administrative tasks, all while creating unforgettable experiences for our members and prospects.

This isn't your typical events role—it's dynamic and exhilarating! Essential Duties and Responsibilities:

Maintain accurate and organized records of events including the Company Event Calendar, Executive Summaries, and the Events Scorecard.

Assist with asset creation and distribution for pre-, at-, and post-event requirements to support the event marketing plan. Partner with internal contacts to track postings and results.

Research and propose industry and tertiary events that align with the organization's strategic direction for consideration in the annual plan.

Coordinate supplies, packing lists, and shipments to ensure materials arrive at events on time and are promptly returned, inventoried, and stored. Organize and track event material inventory (onsite and external storage).

Handle staff registrations, housing, food, and travel arrangements.

Coordinate and lead meetings with internal and external stakeholders to determine event details, requirements, goals, and requests.

Provide regular, timely updates while working closely with internal teams and external vendors to ensure seamless event execution and alignment on objectives.

Prepare post-event reports and gather feedback to improve the event planning process and help inform future events.

Provide feedback and timely resolution with contract negotiations, budget management, reconciliation, and invoicing.

Booth set-up and tear-down as needed.

Represent the USCCA brand by selling memberships at various events nationwide throughout the year. Maintain a professional attitude and appearance that aligns with our established expectations.

Skills/Abilities/Experience and Education Requirements:

High school diploma or GED required.

Bachelor’s degree in business, marketing, events, or related field, or equivalent experience.

At least 2+ years of experience in event planning and execution.

Required to pass and maintain Producers Property and Casualty License. Paid training is provided for all hires.

Sales-oriented professional with the ability to work independently or as part of a team.

Ability to travel up to 50% throughout the U.S. and work outside traditional office hours.

Experience with event contracts.

Experience working in a highly collaborative role with multiple stakeholder groups.

Proven ability to communicate and work effectively with a diverse range of people at all levels and functions of the organization.

Detail-oriented, proactive problem solver with excellent verbal and written communication and conflict-resolution skills.

Ability to exercise tact and discretion in dealing with the public.

Proven ability to self-direct and be resourceful.

Skilled at working in a fast-paced, dynamic environment and on multiple projects simultaneously.

Ability to work under pressure and meet deadlines.

Proficient in Google Suite/Microsoft. Expertise with Google Sheets/Microsoft Excel.

Location and Travel:

This position is based at our corporate headquarters in West Bend, Wisconsin.

Ability to travel up to 50% of the time (U.S. only). This role requires domestic travel on average 1-2 times per month with duration usually not more than 1 week at a time; subject to change based on the calendar and event requirements, with some work outside of traditional office hours. All travel accommodations are paid for by the company.

Physical Demands:

Must be able to work on your feet for extended periods of time. Must be able to regularly lift up to 50 pounds.
