JOB SUMMARY
The role of the Accounts Payable Specialist is to manage all aspects of the AP process. This includes vendor management, entering and coding invoices AppFolio, managing the approval process, and ensuring timely vendor payments.
The role of the Tenant Support Specialist is to provide exceptional customer service to all past, present and future residents.
RESPONSIBILITIES AND DUTIES
Vendor Management
Verifying that all vendors receive our vendor information and documentation guidelines.
Create and Manage vendor pages to ensure COI and W9s are entered and updated according to Diamond Property Management procedures.
Assist the Accounting Specialist in the 1099 process at year end.
AppFolio Management
Enter and upload all invoices into AppFolio.
Utilize Diamond Property Management process and procedures to classify all invoices into the proper properties and general ledger accounts.
Monitor the approval process inside of AppFolio to ensure timely payments to vendors.
Process all fully approved invoices for payment using Diamond Property Management Procedures.
Enter and update fixed assets on the unit pages to track updates and repairs on a unit by unit basis.
Review and process employee expense reports and ensure they comply with DPM Expense Reimbursement Policy.
Enforce segregation of duties and other internal control practices to ensure the safe-guarding of assets and proper authorization, recording and payment of all invoices.
Communication
Communicate with vendors and Diamond employees to ensure an accurate, efficient and timely bill payment process.
Participate in a monthly meeting to identify issues and ideas to improve the bill pay process.
Tenant Support
Manage all inbound calls according to Diamond Property Management process and procedures.
Provide outstanding customer service in meeting the needs of past, present and future tenants.
Communicate, monitor and manage relationships with residents through the tools, features and functions of AppFolio.
Document and process all Notices to Vacate according to Diamond Property Management procedures.
Office Support
Continual commitment to documentation of conversations and situations inside the tenant, unit and/or property pages in AppFolio.
Open and sort all incoming mail on a daily basis.
Monitor our email address and facilitate issues according to Diamond Property Management process and procedures.
Participate in a monthly meeting to identify issues and ideas to improve efficiency.

Perform other duties as assigned.
Responsibilities subject to change at any time upon short notice at Supervisor's discretion.
Continuously search for operational improvements and best practices that are in the best interest of DPM.
Review and assess new technology programs and applications for use in the business and this role, assist in implementing and operating new technologies as needed.
Attend and pass required training, and participate in advanced educational courses and seminars, at the direction of your supervisor.

Computer Skills:
To perform this job successfully, an individual should have advanced knowledge of Google Docs, AppFolio (Or other related property management software), and Excel.
Education/Experience:
Previous experience in an AR/AP position. (Required)
2+ years experience in a customer service related position. (Required)
Property management related experience and/or training; or equivalent combination of education and experience. (Preferred)
