We are seeking an experienced and detail-oriented Office Administrator and Bookkeeper to join our growing team. This individual will be responsible for managing the day-to-day office operations while maintaining accurate financial records for our trucking operations.

Key Responsibilities:

1. Office Administration:

o Manage and maintain office supplies, equipment, and ensure the smooth running of the office environment.

o Answer phone calls, handle email correspondence, and manage customer inquiries and scheduling.

o Coordinate meetings, appointments, and company events.

o Support HR functions, including assisting with recruitment and employee record management.

o Assist with compliance and recordkeeping for all relevant federal and state regulations for the trucking industry.

o Maintain a positive and productive office atmosphere for staff and clients.

2. Bookkeeping and Accounting:

o Manage day-to-day financial transactions using QuickBooks Online, including accounts payable and receivable.

o Reconcile bank statements and credit card transactions.

o Prepare monthly customer statements and oversee collections communications.

o Prepare and maintain financial statements, including profit and loss statements, balance sheets, and cash flow

reports.

o Handle payroll processing through Paychex Flex, ensuring accurate and timely payments for all employees.

o Track and report on fuel costs, maintenance expenses, and other trucking-related expenditures.

o Prepare and file necessary tax documents, including sales tax filings and W-2 forms.

o Assist in budget preparation and financial forecasting.

3. Payroll & HR:

o Manage employee payroll using Paychex Flex, ensuring compliance with tax regulations and company policies.

o Maintain accurate employee records and assist with onboarding new hires.

o Handle benefits administration, including insurance, retirement plans, and leave management.

4. Additional Duties:

o Assist with audits and provide supporting documentation when needed.

o Support management with general office and financial tasks as needed.

Qualifications:

High school diploma or equivalent; associate’s degree in accounting or business administration preferred.

Proven experience (2+ years) in office administration and bookkeeping, preferably within the transportation or

trucking industry.

Strong knowledge of QuickBooks Online and Paychex Flex (or similar payroll systems) is a must.

Proficiency in Microsoft Office Suite (Excel, Word, Outlook).

Strong organizational and multitasking skills with excellent attention to detail.

Ability to communicate effectively and professionally, both verbally and in writing.

Knowledge of trucking industry regulations and compliance a plus.

Must be self-motivated, dependable, and able to work independently.
