External Affairs Coordinator

Supports a multifaceted, interdisciplinary organization that cultivates and stewards relationships with external leaders, organizations, businesses, governmental and non-governmental organizations in order to advocate for and advance the university's strategic interests, elevate the university's reputation, maximize visibility and prominence, and develop symbiotic partnerships. The incumbent is responsible for support in devising and pursuing strategies and tactics that promote a positive institutional image, extends the university's brand narratives, and grows supportive engagement with identified stakeholders, thought leaders, and influencers. This position also supports the fiscal functions and programming needs of community engagement and partnerships, government relations, marketing and communications, alumni affairs and Topper Station, (WLUTV-14) as well as serves as an administrative liaison to the West Liberty University Foundation.

Essential Functions Include:

  • Support the planning of team engagements, Alumni events, Donor Events, Community events and Corporate partnership events.
  • Manage the VP of External Affairs and Development calendar to ensure all are well prepared and ready for scheduled meetings. Assist the VP in aligning, scheduling and managing activities.
  • Coordinate all travel for the VP of External Affairs and Development, Executive Director of Alumni Affairs, Executive Director of Marketing and Communications, Executive Director of Topper Station and Executive Director of the Highlands Center.
  • Assist the VP of External Affairs and Development is prepared for all internal and external meetings. Tasks include agenda material, prep materials and meetings with the VP prior to engagements.
  • Partner with the Business Office to create, manage, track expense reports, purchase orders and budgets. Responsible for compliance and forecasting for the department.
  • Partner with the WLU Foundation, Executive Director of Alumni Affairs to provide alumni and donor database oversight, management and support.
  • Support the planning and logistics of full-team calls, Zoom meetings and designated events.
  • Provides administrative, logistical and project support to the VP of External Affairs, Executive Director of Alumni Affairs, Executive Director of Marketing and Communication, Executive Director of Topper Station and the Executive Director of the Highlands Center.
  • Works closely with the VP to identify projects that are aligned with the interests and long-term goals of the university and the department.
  • Additional Duties as assigned

Education Requirements:

  • Bachelor's Degree in Marketing, Communication, or related field required.

Work Experience:

  • 2 + years of experience in Marketing and Communication required.

Skills & Abilities:

  • Highly collaborative with experience developing and implementing communication strategies.
  • Self-starter able to work independently and entrepreneurially.
  • Friendly and service-oriented.
  • Strong computer skills.
  • Highly detailed ability to produce high quality work.
  • Ability to work in a fast-paced environment. Willing to change as demand and priorities shift.
