The Work

Typical duties include the following:

greeting visitors, answering multi-line telephones, taking messages, answering inquiries, confirming consultations and meetings, and making referrals to other company branch locations as appropriate, ensuring accuracy of all messages and quality customer service;

screening potential clients, processing client payments, opening new client files, and maintaining files using client, case, and document management system;

managing and processing mail, electronic mail, and service of legal documents, ensuring prompt distribution of incoming legal documents;

assisting staff with scheduling consultations, scheduling meetings with clients, calendaring court dates, calendaring zoom hearings and trials, calendaring filing deadlines and hearing confirmation deadlines, and other appointments for attorneys and paralegals, ensuring that all details are noted on the calendar and properly communicated to the staff;

managing consultation intake forms, supporting documents, and attorney notes, ensuring the completeness of records in prospect client folders;

Preparing and editing correspondence, basic legal pleadings, and other documents independently, ensuring consistency with attorney or paralegal instructions;

communicating with clients, attorneys, staff, and technical support while maintaining strong relationships

managing, troubleshooting, and resolving high conflict interactions with opposing parties, ensuring good communication and patience;

Monitoring, managing, and ordering office supplies as necessary; and

other clerical and administrative duties as assigned

Additional Aptitudes

Though not required, your application may stand out more if you are able to emphasize any of the following:

prior work as a legal secretary and/or a degree or certificate in paralegal studies or a related field;

previous experience in a law firm or similar setting;

previous experience in a multi-office environment;

proficiency in Odyssey Portal, Odyssey eFile WA, KC Script Portal, and KC E-Filing; and

proficiency in Microsoft Word, Microsoft Excel, Google Calendar, Stamps postage software, Adobe Acrobat Pro, LawPay, and QuickBooks Time/Workforce

pay: hourly, part-time, non-exempt, $18.00-$20.00/hour

sick leave in accordance with WA State law
