Project Management Administrative Assistant – Residential Construction

Seattle, WA – Full-Time

We are a fast-growing builder/remodeler of residential homes seeking a highly motivated, detail-oriented, and responsible individual to join our Project Management Team. This position combines administrative and operational support for the Project Management team with responsibility for project bookkeeping — tracking budgets, costs, and progress for our active jobs.

Position Overview

As a Project Management Administrative Assistant, you will:

Assist our on-site and off-site Project Managers and the Operations Manager in managing the flow of information, schedules, and documents for multiple residential projects.

Maintain and update our project budget tracking spreadsheets in coordination with the PM team.

Support the permitting, proposal, and change order processes.

Help ensure smooth communication between the field and the office, and between the company and clients.

This is not a full-charge company bookkeeping position — instead, you will act as the bookkeeper for our projects, ensuring all job costs and budgets are tracked accurately from start to finish.

Key Responsibilities (including, but not limited to)

Update and maintain project schedules; distribute updates weekly.

Maintain and reconcile project budget tracking spreadsheets.

Assist in preparing proposals, estimates, and change orders.

Support and strengthen client relationships through clear and timely communication.

Coordinate systems related to estimating, client design specifications, project budgets, schedules, and timelines.

Read and interpret plans, drawings, and specifications.

Communicate clearly in writing and verbally.

Work independently and as part of a team.

Minimum Requirements

4+ years of experience in construction or a construction-related field.

Proficiency with spreadsheets and basic bookkeeping software

Strong organizational skills and attention to detail.

Reliable transportation and a valid driver’s license.
