The anticipated annual salary range for this position is $47,786 - $69,289 based on experience.
About the role:
The Property Management Coordinator provides administrative and operational support for the Property Management teams at the Sabey commercial properties in Seattle and Everett. We are seeking a person who is excited about problem solving, process improvement, organization, tenant relations, accounting functions and team building.
What you will be doing:
General Administrative Support
Assisting with daily administrative tasks, managing correspondence, and maintaining records.
Supporting property and equipment inspections and completing checklists.
Assisting with project and vendor proposals, conducting reviews, and creating contracts.
Tracking and evaluating monthly utilities (electrical, water, gas, etc.).
Procuring and inventorying necessary office supplies for property management teams.
Organizing and maintaining office files and documentation.
Providing daily support for DSX Access System requests.
Managing the conference room calendar.
Compiling and providing weekly updates for the department’s Weekly Activity Report.
Maintaining contacts and phone numbers for vendors and tenants.
Ensuring the development and implementation of Sabey-branded campus signage.
Assisting with the creation of department and team meetings, planning team-building events, ordering lunches, and arranging handouts.
Administering and managing the secure key storage KeyPer system.
Lease Management and Tenant Relations
Coordinating tenant move-ins and move-outs, signage, welcome gifts, handbooks, and directory updates.
Collecting, tracking, and creating quarterly building directories.
Managing holiday schedules for buildings and tenants.
Collaborating with Risk Management to obtain tenant and vendor insurance certificates.
Providing administrative support for Tenant Improvement projects.
Assisting property management with lease enforcement and tenant relations.
Maintenance Coordination
Managing the service request system (LANDPORT) to ensure completion and excellent customer service.
Setting up and supporting the service request system for tenants and their delegates.
Acting as the liaison between vendors and contractors to ensure timely completion of work.
Financial Administration
Supporting the engineering team with expense reports (Zoho), work orders, and purchase orders (YARDI).
Assisting Property Managers with PO review, variance analysis, and general ledger reports.
Collecting information and documentation for Major Expenditure Reports (YARDI) as directed.
Providing support for the annual budget and reconciliations for commercial properties.
Tracking after-hours and HVAC event requests for tenants for annual billing.
Other Responsibilities
Updating the Energy Star system to obtain Energy Star Certifications.
Assisting the property management team in ensuring compliance with campus MIMP and TMP programs, along with other city mandates.
Supporting property management and security with safety programs, including implementing emergency evacuation programs as required by local, state, and federal regulations.
Minimum Qualifications:
2+ years of administrative, property management or relevant experience.
Must possess a valid state-issued driver’s license.
Yardi accounting software or similar accounting software experience is a plus.
Strong organizational and communication skills to be able to prioritize and multitask in a fast-paced environment to meet deadlines without compromising work.
Strong time management and organizational skills with the ability to manage multiple projects simultaneously.
Proficiency with Microsoft Suite – Word, Excel, PowerPoint, Outlook, Teams, etc.
