Johnson Oaklief Architecture and Planning, LLC is delighted to announce an opening for a full-time Office Manager position. “JOAP” was originally founded by principal Stevan Johnson in 1987. We have been an architectural consulting business overseeing the design and development of medical clinics, institutional facilities, community centers, multifamily residential and mixed-use buildings, nationally registered historic and landmarked places, commercial spaces, and master planning since the firm's inception.
We seek a talented self-starter with excellent organizational skills who will be the linchpin for all things office related, that includes overseeing:
Basic management of Apple workstation computers and a file server
Managing VOIP phone system, front desk calls and general emails
Scheduling for individual employees, weekly office meetings with clients and reps
Seeking out Continued Education (CEU) credit opportunities for the team
Archival and property research for clients and senior staff
Researching new architectural products for the in-house library and sample collection
Familiarity with and tracking software updates/upgrades and hardware compatibility
Marketing: proposal development for the firm’s outreach in public bids, website content creation
Run A/V conference room displays and equipment for meetings and lunch and learn presentations
Basic printer management as needed
Purchasing for software apps, hardware, general office, kitchen and washroom supplies
The ideal candidate should have:
At least 2 years of administrative and office experience, familiarity with Apple products
English verbal and writing skill set
Proficiency with modern cloud software and apps in general (familiarity with CAD, basic IT in general is a plus)
Experience with self-management in executive support and look-ahead collaboration
Since Johnson Oaklief is a Washington Small Business, the architectural team is an agile and diverse group of professionals, often wearing many hats. The best candidates for the Office Manager position are going to be those who can readily adapt to changing needs. There will be opportunities outside the list above that can be helpful to the team from time to time, such as assisting in on-site building measurements and taking meeting and field notes, graphic design opportunities, content editing/generating and calculation checks.
The office is centrally located in the Belltown neighborhood with many restaurants and amenities nearby, including accessible transit and Light Rail. We're bike-friendly and enjoy a relaxed, creative work environment in an open floor plan. The position begins with a three-month opportunity and an expectation to continue as an integral part of the team after the introductory period.
