INTAKE & OTO COORDINATOR/RECEPTIONIST
Position Description
RESPONSIBLE TO: Business Operations Manager
HOURS: Five days per week 8:00 AM - 4:30 PM 40 hrs P/w
JOB REQUIREMENTS:
Communicate well by telephone, in person and in writing
Bi-lingual read/write in a secondary language/English preferred
Must work well in a multi-cultural, multi-ethnic environment
Computer skills and proficiency in Microsoft Office programs, particularly Word and Excel
Excellent organizational skills
Ability to deal effectively with a wide range of personality types
Ability to work independently and as part of a team
Strong work ethic
Ability to maintain confidentiality and security of all personnel related items
Knowledge of filing and record keeping systems
Must be willing to work at least one Saturday a month
RESPONSIBILITIES:
Greeter:
Greet all clients with a smile; you are the first person the client interacts with.
Maintain professionalism at all times, with priority given to respect, empathy and a helpful attitude in all client interaction.
Office Procedures:
Open gates and lobby area by 8:30 am, and office by 9:00 am. Keep the office organized and insure all important and vital information is shared with the Supervisor affected by the Social Service area. Make sure that the lobby is clean and tidy before end of day ready for next day services.
Resources:
Maintain and update all information and resources that are pertinent and applicable for client assistance. This includes Flyers, Brochures, application for assistance or any community resources.
Telephone:
Answer incoming calls and transfer accordingly. Regularly check general office phone messages to ensure that phone messages are transferred and/or returned in a timely manner. You will be responsible for tracking all phone calls and any referrals made on a daily basis. (For reporting purposes only).
Intake and OTO Coordinator:
Assist in processing assistance requests and referrals, as required, while maintaining a professional and highly organized office and waiting room area.
Assist in maintaining accurate case records and filing system
Assist the Social Services Manager in completing all office tasks, protocols and responsibilities
Conduct Food Related screenings only.
Make pertinent notations in clients database files; new follow up and updates
Keep accurate record of OTO clients and any on the waiting lists.
Assist in processing assistance requests and referrals for the OTO Program
Communicate with all OTO Volunteers and organize the matchup between volunteers and clients.
Once a month Coordinator will work ½ day on Wednesday and ½ day on Saturday to oversee distribution of OTO boxes.
Physical Requirements:
Ability to sit, walk, stand, bend, squat, climb, kneel, and twist on an intermittent or continuous basis
Ability to grasp, push, pull objects such as files, file cabinet drawers, and reach overhead
Ability to operate telephone
Ability to operate a desktop or laptop computer
Ability to lift up to 25 lbs. (usually file boxes)
Ability to access and produce information from a computer
Ability to understand written information
