We are currently seeking an organized, proactive, and highly motivated Executive Assistant to join our team in Bellevue, WA. The ideal candidate will be responsible for ensuring the smooth operation of our office activities and will contribute to driving sustainable growth.
Responsibilities:
Bookkeeping, i.e. using QuickBooks to track expenses & pay invoices, processing payroll, monitoring employees’ hours & PTO, and working with the firm’s accountant to ensure accuracy in QuickBooks.
Scheduling appointments and managing calendars for the firm’s owners.
Ensure building tenants timely pay rent.
Ensure office inventory and supplies are sufficient, including ordering inventories/supplies when necessary.
Oversee/ensure any building maintenance/repair issues are taken care of, including building security cameras, alarms, and access fobs.
Provide backup phone support for receptionist and intake team.
Desired Qualifications
Fluent in Spanish.
Proven experience as a high-level Executive Assistant or Office Manager.
Knowledge of Office Administrator responsibilities, systems, and procedures.
Proficiency in MS Office (MS Excel and MS Outlook, in particular).
Hands-on experience with office machines (e.g. fax machines and printers).
Excellent time management skills and ability to multi-task and prioritize work.
Attention to detail and problem-solving skills.
Excellent written and verbal communication skills.
Strong organizational and planning skills in a fast-paced environment.
