Front Desk Manager – Cosmetic Dermatology Practice

We are a high‑volume, provider owned and lead, cosmetic dermatology practice in the heart of Capitol Hill. Renowned for innovative aesthetic treatments and exceptional patient care for over 20 years, we’re seeking an experienced Front Desk Manager who can uphold and improve upon our current patient experience and clinic efficiency. An active Medical Assistant (MA) credential with procedural assistance and phlebotomy skills is strongly preferred and will be rewarded with an enhanced compensation package.
Key Responsibilities:
Front office leadership
Conduct regular performance check‑ins and foster a culture of service excellence.
Patient Experience & Scheduling
Manage multi‑line phone system, online inquiries, and appointment scheduling.
Answer patient emails
Social media fluency
Greet patients, coordinate check‑in/out, and handle pre‑ and post‑visit communications.
Communication and referral to medical related concerns to providers.
Resolve escalated patient concerns with empathy and professionalism and communication and collaboration with providers.
Clinical & Procedural Support
Draw blood (phlebotomy) and prepare specimens.
Pull up and prepare medications for injections or procedures per clinic need and provider preference.
Assist providers during procedures (e.g., laser and energy device treatments, injectables, thread lifts).
Turn over treatment rooms quickly between patients—clean, restock, and set up instruments and supplies.
Ensure exam rooms are stocked, sanitized, and ready for each patient.
Facility & Environment Maintenance
Maintain a tidy, inviting waiting area throughout the day and perform full opening/closing cleaning routines.
Handle daily laundry (towels, gowns, linens) to maintain clinic hygiene standards.
Operational Oversight
Maintain accurate patient records in the EMR/EHR system; ensure HIPAA compliance.
Balance daily cash, credit card, and POS transactions; generate end‑of‑day reports.
Prepare and submit payroll accurately and on schedule with offsite bookkeeping.
Retrieve and distribute daily mail; manage outgoing correspondence and bill paying.
Package receiving and returns.
Make timely bank deposits and reconcile deposit slips with practice records.
Liaise with clinical staff to optimize provider schedules and treatment room usage.
Communicate and report to the clinic owner during and after clinic hours as needed, providing daily summaries, incident reports, and urgent updates.
Administrative & Billing Support
Oversee insurance verifications, prior authorizations, and patient financial counseling.
Track inventory of retail skincare products, medical supplies, and office necessities; coordinate reorders.
Prepare weekly/monthly metrics on patient volume, revenue, and staff productivity.
Process Improvement
Identify workflow bottlenecks and implement best practices for efficiency.
Collaborate with marketing to promote specials, events, and loyalty programs.
Qualifications
2+ years of front desk or office management experience in a medical, dermatology, or aesthetic setting (required).
Active Medical Assistant certification/license with recent phlebotomy and injection preparation experience (strongly preferred).
Proven leadership skills with the ability to motivate and develop a high‑performing team.
Proficiency in EMR/EHR platforms and Microsoft Office/Google Workspace.
Strong understanding of insurance billing, patient collections, and POS systems.
Exceptional communication, multitasking, and problem‑solving abilities.
Commitment to delivering outstanding customer service and upholding patient confidentiality.
knowledge of HIPAA regulations
Schedule & Compensation
Schedule: Monday–Friday, 8:30 AM–5:30 PM, with occasional late days for special events
Compensation:
Base: $30–$45 per hour (DOE and clinical certifications)
Medical Assistant (MA) Credential Premium: for candidates with an active MA license and demonstrated clinical skills.
Bonuses: Monthly performance bonuses based on patient satisfaction, clinic revenue and profits, and practice goals after 3-6 months.
