The staff bookkeeper oversees accounting procedures and advises on finance matters. They are responsible for maintaining and reconciling the general ledger in QuickBooks Online, conducting month-end and year-end closures, preparing, and reviewing financial documents, reporting, and processing all payrolls. The staff person reports directly to the Executive Director and responds to information requests from all levels of the agency and external stakeholders as needed.
Duties & Responsibilities
Manage general accounting and financial processes using QuickBooks including AP, AR, and Payroll
General ledger reconciliations, accruals, and journal entries
Manage monthly payroll, payroll accruals and reconciliations, including leave and commission payable balances
Manage accounts payable, including credit card, employee expense reports, check runs, vendor invoices, and annual 1099s
Partner with accounts receivable team to reconcile receivable and prepayment balances from Valant transaction information
Review and maintain compliance with federal, state, and local tax and financial requirements
Set up and renew business licenses and registrations at all levels of government
Prepare documents for annual external audit
Meet regularly with the finance team to manage calendar of financial projects and deadlines
Requirements & Skills
3+ years relevant experience, in healthcare/insurance and/or nonprofit a plus
3+ years of payroll administration experience
Excellent communication skills, high levels of organization, and attention to detail
Integrity and discretion regarding confidential data and documents, including HIPAA compliance
Ability to handle multiple projects simultaneously and bring them to completion efficiently and accurately
Experience with Microsoft Office and QuickBooks Online required, Gusto a plus
