Pay Range: $26 to $28

Title: Admin Assistant
Location: Redmond, WA
Duration: 12 Months
Role Expectations:
Work in partnership with Executive Admin, Chief of Staff and Business Manager to make decisions regarding task prioritization aligned to the required outcomes needed to support the CVP and team members.
Working closely with manager and other group administrative teams' members regarding communications, meetings, and work priorities.
Coordinate new hire onboarding and employee departures including the allocation and collection of assets. Track assets, ensuring hardware lists are up to date and accurate.
Procurement of goods and services including contractors, software, hardware, supplies, etc.
Manage requests for resources through the end-to-end process ultimately resulting in the opening of a Purchase Order for the hiring of a supplier. This includes performing a variety of complex administrative functions relating to contracts (SOW) and purchase orders.
Update Operational Policy & Procedural manual, as necessary.
Help coordinate team meetings, events and offsites, including agenda management, meeting logistics, and material preparation. Assisting with org-wide events run by the admin team.
Space management including planning office space, including office moves, in collaboration with Real estate and Facilities and partnering organizations.
Ability to work effectively under shifting priorities and relatively ambiguous and complex situations.
High level of integrity and ability to manage sensitive and confidential information with discretion and professionalism.
Other responsibilities may include:
Providing backup support (calendar, travel, expenses) to other leaders.
Helping maintain team aliases, to support efficient and appropriate internal communication.
Planning and coordinating domestic and international travel plans end-to-end, including the proactive anticipation of any logistics and itineraries.
Candidate Qualifications:
2+ years demonstrated administrative experience in a fast-paced environment. Including experience supporting remote teams required.
Effective verbal and written communicator with a diverse group of key stakeholders.
Excellent organizational, analytical, and anticipatory skills. Ability to make independent decisions and to juggle multiple projects at once with compressed lead time, in addition to dealing with ambiguity.
Solid ability to manage multiple projects and excellent problem-solving skills.
Able to work successfully in a team environment, build effective working relationships inside and outside group with varying levels of collaborators and accommodate working styles and perspectives of diverse individuals and groups.
Proficiency in Microsoft Office applications is required (Outlook, Word, Excel, PowerPoint, MS Teams)
Ability to be flexible and work quickly and efficiently.
Ability to react with appropriate urgency to situations and requests.
Ability to lift up to 20 pounds
