POSITION TITLE: Business Manager: Starting August 11, 2025
REPORTS TO: Executive Director
PRIMARY FUNCTION:
The School Business Manager reports to the Executive Director and also works closely with the School Board to ensure successful financial operation of the school. Duty areas include financial strategic planning, budget oversight, fiscal reporting, payroll and personnel, general accounting, and other professional duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned.
Domain #1: School Finances
Work with the Executive Director to prepare the annual budget and when approved submit all required budget reports to the Idaho State Department of Education
Assist the Executive Director with State and Federal applications and reporting (i.e. Title I, IDEA Part B, Child Nutrition Program)
Monitor expenses and ensure adherence to the approved budget
Prepare financial information and reports as requested by the Executive Director, School Board, lenders, and various state agencies
Work with the Executive Director and School Board, keeping them apprised of unforeseen expenditures or budget overages and working together to study program feasibility or requested resources
Assist and cooperate with outside auditors and the Charter School Authorizer in the conduct of approved audits or review of the School’s fiscal records
Look for and/or recommend ways to become more efficient and save money
Domain #2: Payroll and Personnel
Assist with contracts and work with the Executive Director on salary schedules
Maintain employee records regarding salary, retirement, social security, withholding taxes, insurance, sick/personal time, etc.
Process monthly payroll on schedule
File all required state and federal payroll tax reports (including 941, W-2, 1099s, Idaho 910, 020, 967), PERSI transmittals and submit payments in a timely manner
Assist the Executive Director in the oversight of benefit programs including retirement, health and life insurance programs; advise employees regarding these programs; and work closely with benefit providers/brokers
Domain #3: General Accounting Support
Verify accuracy of and record all deposits
Assist with purchasing/bidding/contracts
Review invoices and credit card statements ensuring proper documentation, pay bills in a timely manner, and record expenditures
Submit grant reimbursement requests to the Idaho State Department of Education
Prepare monthly bank reconciliations
Ensure accounting is consistent with State requirements (including IFARMS, ISEE)
Track and file sales tax reports, coordinating with fundraising committee to ensure proper sales tax reporting
Domain #4: Other Professional Duties
Work with office personnel as needed regarding finances, state and federal reporting, and student/staff (ISEE) data systems and records
Assist the Executive Director with Child Nutrition Programs and oversight of the National School Lunch Program (including meal applications, required reporting, etc.)
Review Medicaid financial reports and submissions to ensure timely payment of claims
Assist with policy development related to financial management
Identify areas for personal professional development and take responsibility to research or ask for staff development opportunities to develop these areas

Requirements:
An understanding of fund accounting and generally accepted accounting practices
Excellent computer skills including experience with accounting programs. spreadsheets and word processing
Collegial attitude and ability to both work with a diverse body of people and work independently
Ability to work in an environment with frequent interruptions
Must successfully complete a criminal background check at candidate’s expense
Enthusiastic about what Palouse Prairie Charter School has to offer students, staff, families, and the community
Desired Qualifications:
Working knowledge of i2m finance program
Knowledge and experience with school finance requirements in the state of Idaho
EDUCATION and/or EXPERIENCE:
Bachelor’s Degree in Business Administration/Accounting or similar related discipline
Six (6) years of prior related accounting experience in lieu of the above educational requirements
EVALUATION:
Performance of this job shall be evaluated annually in accordance with provisions of the board's policy on evaluation of classified personnel.
COMPENSATION:
Based on experience and education. 30-35 hours a week. Employee benefits include medical, dental, and optional vision insurance coverage. Participation in the PERSI retirement plan.
