Ironclad Defense Works Inc. is seeking a highly organized, proactive Executive Assistant to support our executive team in Norfolk, Virginia. As a trusted provider of defense services and solutions, Ironclad Defense Works supports high-impact programs for government and industry clients. We're looking for a resourceful individual who can help keep our operations running smoothly.

Position Overview:

The Executive Assistant will provide high-level administrative support to company executives, manage scheduling and communications, and help ensure day-to-day operations flow efficiently. This position is ideal for someone with exceptional attention to detail, strong communication skills, and the ability to thrive in a dynamic, mission-driven environment.

Key Responsibilities:

Manage executive calendars, coordinate meetings, and schedule appointments

Draft, edit, and proofread correspondence, reports, and other documents

Handle travel arrangements, itineraries, and expense reports

Serve as a point of contact between executives, staff, clients, and external partners

Maintain confidential files, records, and sensitive corporate information

Track tasks, deadlines, and deliverables for leadership and project support

Support meeting preparation, agendas, minutes, and follow-ups

Assist with event coordination and internal communications

Perform other administrative duties as needed to support executive functions

Qualifications:

Associate’s or Bachelor’s degree in Business Administration, Communications, or related field

3+ years of experience as an executive assistant or in a similar high-responsibility support role

Proficiency with Microsoft Office Suite and modern productivity tools (e.g., Teams, SharePoint)

Excellent written and verbal communication skills

Strong organizational skills with the ability to multitask and prioritize effectively

Discretion and sound judgment when handling proprietary information

U.S. Citizenship required (due to the nature of our work)
