Description We are in search of an Administrative Assistant to join our Investment Advisory team based in New Kent, Virginia. This role involves assisting advisors with account processing, handling client-related cash demands, verifying account alignments with investment portfolios, and supporting financial planning tasks. Responsibilities Assist in the account opening process, determining necessary forms for specific registration types. Process and track new accounts, coordinating with custodians to address any outstanding issues. Handle cash demands for advisors and their clients, ensuring smooth financial operations. Process account deposits and enter redemption requests. Verify all accounts are aligned with investment model portfolios, making necessary adjustments. Implement investment model changes as directed by advisors. Assist with the preparation of client reviews, ensuring all information is accurate and up-to-date. Use accounting software such as Microsoft Excel, Oracle, QuickBooks, and SAP for data entry and invoice processing. Perform account reconciliation and manage accounts payable and receivable. Assist advisors with financial planning tasks, providing administrative support as needed. Requirements Proven experience in Account Reconciliation. Proficiency in Accounts Payable (AP) and Accounts Receivable (AR) management. Demonstrated ability in Billing and Invoice Processing. Strong Data Entry skills with a high degree of accuracy. Experience with Microsoft Excel for financial analysis and reporting. Familiarity with Oracle financial software. Proficiency in QuickBooks for managing accounting functions. Experience with SAP for business process management. Excellent communication and interpersonal skills. Ability to work in a fast-paced, investment advisory environment. High level of organization and ability to manage multiple priorities. Commitment to maintaining confidentiality of sensitive financial information.
