Handles confidential information and oversees various administrative tasks to ensure smooth operations, requiring strong communication, organizational, and time management skills to anticipate needs and proactively address issues. Maintains knowledge of corporate activities to assist in policy, procedure, and administrative matters. Performs responsibilities in such a way as to project the appropriate professional image of the Company. May act as a resource for colleagues with less experience.Job DescriptionCore Responsibilities

Assures the planning and coordination of the executive's calendar of events; schedules appointments and prepares detailed itineraries, complete with travel accommodations etc.

Screens telephone calls, visitors and letters; preparing correspondence, drafting and editing documents, and communicating effectively on behalf of the executive

Responsible for the coordination and scheduling of meetings and presentations; gathers and prepares necessary materials and/or equipment. Preparing meeting agendas, taking minutes, distributing action items, and following up on decisions made.

Proactively managing calendars resolving conflicts and planning for future events

Assures the maintenance of travel and expense account and records, including form preparation, figure reconciliation, proper coding.

Create, revise, and maintain department org charts

Managing office supplies, coordinating office services, and maintaining filing systems (where applicable).

Handle sensitive information with the utmost discretion

Displays a strong knowledge of desktop tools such as the Microsoft Suite of Office products and electronic mail systems.

Regular, consistent, and punctual attendance. Must be able to work nights and weekends, variable schedule(s) and overtime as necessary.

Required Skills:

Strong Communication Skills: Excellent verbal and written communication to interact with diverse stakeholders at all levels.

Proficiency in Technology: Expertise in Microsoft Office Suite, calendar applications, and other relevant software.

Attention to Detail: Ability to maintain accuracy in all administrative tasks.

Discretion and Confidentiality: Ability to handle sensitive information with discretion.

Adaptability: Flexibility to handle changing priorities and unexpected situations.
