We are seeking a proactive and highly organized Office Coordinator to manage the day-to-day operations of our Plano office. This individual will be the go-to person for ensuring a seamless, efficient, and welcoming office environment. Key Responsibilities:

Oversee daily operations of the Plano facility to ensure a smooth and professional working environment.

Conduct daily walkthroughs of offices, conference rooms, and common areas to ensure cleanliness and readiness.

Ensure all employees, visitors, and partners check in using the Envoy iPad or Envoy app.

Promote office organization by ensuring rooms/workstations are properly reserved and used.

Monitor and stock office supplies, coffee stations, and provisions; place timely orders as needed.

Coordinate FedEx deliveries and outgoing shipments.

Manage and distribute office/ODC access cards, coordinating with managers for activations/deactivations.

Conduct new employee orientations and client walkthroughs, showcasing the office and reviewing basic housekeeping expectations.

Coordinate with internal teams to schedule and support conference room usage and meetings.

Support executive team, EAs, and stakeholders with logistics and planning for large-scale events.

Arrange catering and onsite meeting needs, working with local vendors.

Communicate with Property Management to submit and follow up on facility-related work orders.

Assist the Office Manager with access logs and special projects as needed.

Contribute to a positive and professional office environment through leadership and a solutions-focused attitude.

Qualifications:

2–5 years of experience in an office coordination, administrative assistant, office clerk, or similar role

Strong written and verbal communication skills

Proficiency in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook)

Excellent time management and organizational skills; ability to multitask and prioritize

High attention to detail and commitment to quality

Flexibility to adapt to changing priorities and responsibilities

Positive attitude and strong interpersonal skills for effective team collaboration

Leadership qualities and initiative to proactively address office needs
