Job Summary:

We are seeking a highly motivated and customer-oriented individual to join our team as an HVAC Dispatcher/Customer Service Representative. In this role, you will be the first point of contact for our customers, handling inbound calls, scheduling appointments, and providing excellent customer service. You will play a crucial role in ensuring customer satisfaction and the smooth operation of our service department. We need someone with an attention to detail and the ability to learn quickly the policies and procedures we use. Must be punctual and reliable as this is not a remote position.

Responsibilities:

Answer incoming phone calls from customers promptly and professionally.

Schedule service appointments for technicians based on customer availability and technician schedules.

Accurately enter customer information and service requests into the company database.

Provide customers with information regarding pricing, service options, and company policies.

Handle customer inquiries and complaints effectively and efficiently.

Resolve customer issues to their satisfaction.

Communicate effectively with technicians regarding service calls and customer information.

Assist with dispatching technicians to service calls.

Maintain accurate records of all customer interactions.

Enter invoices into Quickbooks

File invoices

Assist with other administrative tasks as needed.

Ability to take part in the on call rotation to answer after hours phones.

Qualifications:

High school diploma or equivalent.

Excellent customer service and communication skills (both verbal and written).

Strong phone etiquette and active listening skills.

Ability to multitask and prioritize effectively in a fast-paced environment.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Experience with scheduling software a plus.

HVAC industry knowledge is a plus but not required.

Home warranty knowledge is also a plus but not required.

Positive and enthusiastic attitude with a strong work ethic.

Ability to perform your duties and solve problems unsupervised.
