Under the supervision of the Office Manager, The office assistant position is responsible for a number of functions in the office. This includes weekly payroll entry, data entry, ensuring payments and receivables are current, answer phones, time sheet entry, credit card data entry, must be willing to assist where needed, preparing organizing and storing information in paper and digital, arranging shipments and FedEx deliveries, ordering office supplies.
Essential Responsibilities:
Accounts receivable functions, not limited to posting financial transactions and processing billing.
Accounts payable functions, not limited to batching invoices, check runs, and keying in job costing sheets for payroll.
Assist with weekly payroll.
Effective use of bookkeeping databases, spreadsheets, and Quick Books financial software.
General administrative duties such as data entry, filing, answering phone, etc. Must be able to work independently and be able to multitask. Flexible and open to change.
Required Qualifications:
High School Diploma or equivalent required.
3-5 years' experience in office administration or other accounting functions.
High attention to detail and accuracy.
Strong technology skills, particularly expertise with Microsoft Excel, QuickBooks, Adobe, T- Sheets.
Excellent analytical, computational, and mathematical abilities.
High level of integrity, trustworthiness, and professionalism with the ability to maintain confidentiality.
Excellent written and verbal communication skills.
Represent the organization well in all settings.
Plus if fluent in Spanish.
Plus if you have construction admin assistant skill
