Bilingual Real Estate Office Receptionist/Coordinator

We’re hiring a friendly, outgoing proactive Bilingual Office Receptionist/Coordinator for our growing real estate company in Austin. We manage and own both residential and commercial properties in multiple states. The ideal candidate will be the warm, welcoming first point of contact for clients, visitors, and staff, providing exceptional front-desk support while also taking the initiative to assist with various administrative tasks. Fluency in English and Spanish, along with a bubbly personality and self-starter attitude, are essential for success in this role.

Real Estate Office Receptionist/Coordinator Duties and Responsibilities

Responsibilities include managing incoming calls, emails, and inquiries in both English and Spanish, ensuring a positive customer experience. Greet and assist clients, visitors and vendors with a friendly, outgoing demeanor. It also includes keeping track of all transaction documents in the real estate database for multiple entities, monitoring and notifying clients of important deadlines, complying with legal procedures, filing and researching property documentation, and planning appointments. You’ll also support the team with ad hoc reports and projects as needed. Maintain office and kitchen supplies and inventory; proactively reorder to ensure smooth operations.

Real Estate Office Administrator Requirements and Qualification

Our ideal candidate must have excellent communication and exceptional interpersonal skills and a professional appearance & demeanor. Must have prior experience in a real estate administrative role. The candidate should be highly organized, detail-oriented and have the ability to multi-task and meet all deadlines on a timely basis. Proficiency in Microsoft Office Suite and real estate management software such as Yardi Breeze, AppFolio, and QuickBooks experience is preferable.
