The Pre-Litigation Case Manager is responsible for managing the demand and pre-litigation/negotiation phase of disputed third-party insurance claims. This role is critical to achieving early resolution of cases and ensuring adjuster / TPA communication is persistent, strategic, and thoroughly documented.
Reports to: Lead attorney and managing partner
Classification: Part Time - Remote Possible depending on
Compensation Range: $25/hour base, flexible depending on experience
Key Responsibilities:
Create drafts of structured demand letters and other correspondence using approved firm templates
Ensure all required information necessary for pre-litgiation phase workup is obtained and complete
Coordinates with intake phase staff to add information to case file that is discovered
Maintain a case-specific insurance claim tracker in firm's software system for every active file
Identify potential coverages with property damage, collision, cargo, and general liability policies
Locate TPAs handling claims on all identified policies or those identified by attorney in charge
Conduct initial contact and regular follow-ups with insurers/adjusters until the case is resolved or escalated
Verify SAFER/FMCSA information and information from other sources on motor carriers
Log all calls, emails, and responses in software system's notes file with time/date stamps
Ensure communication with attorneys and clients on all offers
Enter resolution information into firm's software system
Communicate with clients regularly during pre-litigation phase of case
Prepare Negotiation Resolution Memoranda for unresolved cases
Ensure and track compliance with all prompt payment deadlines
Maintain the flow of cases from intake to litigation ensuring all remedies are exhausted prior to escalating to litigation
Qualifications:
Must be highly comfortable with frequent phone communication and possess strong interpersonal and conversational skills; the ideal candidate enjoys building rapport and communicating clearly with adjusters, clients, and firm staff
Must be assertive and outcome-driven—this role requires someone who can confidently navigate difficult conversations, push through resistance, and prioritize resolution over comfort
Prior experience in insurance claims, personal injury, property damage claims, or litigation support
Strong written and verbal communication skills
Strong basic computer skills (Word, Excel, Adobe Pro, Office 365 Suite, OneNote, Teams)
Attention to detail and ability to handle a fast-moving caseload
Familiarity with Assembly Neos Software or similar case management systems a plus
