Hiring for ReceptionistJob DescriptionKey Responsibilities:● Work with the Austin Workplace Experience team to create the best workplace in the world. ● Seek out information, build knowledge of standard processes and procedures, and exercise professional judgment. Supply end-to-end customer experience while fulfilling core operational responsibilities.● Demonstrate continuous effort to improve service delivery and customer service levels.● Work cooperatively and jointly with internal departments and external vendors to provide high-level customer service to staff.● Plan and manage guest services operations in the ATX office following global standards.● Maintain an understanding of all lobby-specific programs (i.e., lost & found).● Accommodate all Front of House areas ensuring they are presentable at all times.● Provide a warm and friendly welcome to all customers and visitors to the buildings, actively engaging with each individual.● Provide assistance and direction according to customer requests and help navigate through local amenities and services.● Adhere to building WHS policies and procedures including emergency procedures.● Triage workplace tickets.● Manage shipping and receiving.● Manage security/access cards.● Utilize the visitor management system effectively to ensure a smooth check-in and check-out process.● Be alert to unusual/suspicious activity and escalate or support appropriately.● Manage the end-to-end Kudos program.● Assist the Workplace Experience Team with special projects as assigned efficiently.● Provide general administrative and clerical support: create and maintain playbooks, trackers, progress pages, etc.● Attend regular team training and complete professional development courses.● Understand internal tools to support daily operations.● Understand and complete all required duties in the requested time frame.● Provide guidance during daily operations and emergencies.Facilities Support:● Support facilities with managing vendors onsite.● Liaise with building management on basic facilities tasks/tickets such as elevator issues, lighting problems, key replacements, etc.● Update and maintain accurate records and official documentation in Google Drive, Confluence, and Dropbox.● Support emergency response procedures.● Be aware of the security systems utilized in companywide lobbies and offices.● Ensure building-specific access processes and policies are enforced.Events:● As needed, support Guest Service or Event Teams in the planning and delivery of internal events and celebrations such as monthly celebrations, TGIF, monthly social, monthly lunches, user groups logistics, event recordings, events comms, and events ad-hoc support.Communications:● Communicate with teams frequently and effectively: respond promptly, provide updates on time, and send reminders to the team.● Confidently communicate with all levels of management within the business (C-Suite executives, internal and Client comms).● Send emails alerting of site facilities and event activities.● Create and maintain blogs, playbooks, and newsletters.● Monitor and update site-specific and global chat rooms.Required Skills & Experience● 1-2 years in a customer service-oriented position in a corporate environment● Exceptional written and verbal communication and interpersonal skills● Highly organized and detail-oriented professional who is able to work within a team or independently● Sound computer skills (GSuite, Canva) including willingness to learn internal software products and tools● Customer service-driven approachJob TypeThis is a Contract-to-Hire position with a duration of 4 Month(s).Work SiteThis is a fully on-site position in Austin, Texas.Work EnvironmentLuxury upscale office environment. Will sit at front desk with 4 other receptionists.
