Office Manager / Personal Assistant Required Immediately.

A1 Tree Service is an expanding, medium sized tree service company in Galveston.

A1 Tree Service, a growing and reputable tree care company based in Galveston, is currently seeking a full-time Office Manager / Personal Assistant to join our team immediately. This role is ideal for someone who enjoys variety in their workday and has a can-do attitude, with the ability to juggle multiple tasks efficiently.

As our business continues to expand, we are looking for a dedicated team player who can take charge of daily office operations and provide personal assistance to the owner. You will be an integral part of the team, ensuring the smooth running of both office and field operations. From managing administrative tasks to supporting logistics and customer service, this role requires someone reliable, adaptable, and professional.

Key Responsibilities:

Oversee and maintain accurate records of daily business activities, including job scheduling, project updates, and internal communication logs.

Work closely with the company owner to assist in completing a wide range of daily operational tasks as needed.

Take initiative in the collection of outstanding customer payments, following up on unpaid invoices in a professional and effective manner.

Handle all payroll-related duties, ensuring accuracy and timeliness in processing employee wages and related records.

Maintain a clean, organized, and welcoming office space; assist with inventory management of office supplies and equipment.

Support company marketing efforts, including basic social media management, responding to inquiries, and coordinating promotional campaigns.

Provide field support as required, which may include coordinating with crews, delivering materials, or attending job sites to provide assistance.

Run occasional errands on behalf of the company, such as picking up supplies or submitting documents.

Act as the main point of contact for the dispatch of tree service crews, monitor job progress throughout the day, and provide logistical support as needed.

Answer incoming calls and emails, assist customers with inquiries, schedule consultations or services, and ensure timely and courteous communication.

What We're Looking For:

A self-motivated and dependable individual with excellent communication skills—both verbal and written.

Strong organizational skills and attention to detail; ability to multitask effectively under pressure.

Previous administrative, office management, or personal assistant experience preferred.

Experience with payroll systems and invoicing software is an asset.

Ability to maintain professionalism and discretion, especially when handling confidential information.

Comfortable navigating basic computer programs including Microsoft Office (Word, Excel, Outlook), and open to learning new platforms or tools used within the business.

Someone who is comfortable wearing many hats, and can easily switch between administrative duties and field or customer-facing support.

- Drivers License and vehicle REQUIRED.

- Computer skills (Excel, email, etc)

- Grade 12 education minimum, post secondary preferred

- Good phone manners, presentable appearance

- Knowledge of the city

A team-oriented person who brings a positive attitude and is willing to contribute wherever needed.

Additional Info:

This is a permanent, full-time role with regular working hours of 8:00 AM to 5:00 PM, Monday to Friday, including a one-hour lunch break.

Flexibility is required, particularly during the busy seasons (spring, summer, and fall), where some days may extend beyond 5:00 PM depending on workload.
